Job Summary
- A reputable and growing organization is seeking to recruit a competent, discreet, and highly organized Legal Secretary to provide professional secretarial, administrative, and documentation support to its legal and management functions.
- The ideal candidate must be detail-oriented, trustworthy, professional, and highly confidential, with the ability to manage legal documents, correspondence, contracts, files, meetings, and other administrative matters efficiently.
- The Legal Secretary will provide comprehensive secretarial and administrative support in the preparation, organization, filing, and management of legal documents and correspondence.
- The successful candidate will assist with maintaining legal files, preparing contracts and agreements, scheduling meetings, taking minutes, managing correspondence, and liaising with external lawyers, consultants, government agencies, and other relevant parties as required.
- The role requires excellent organizational skills, strong written and verbal communication, good knowledge of office procedures, and the ability to handle sensitive and confidential information with discretion.
Responsibilities
- The successful candidate will be responsible for:
- Preparing, typing, formatting, proofreading, and filing legal documents, letters, agreements, contracts, reports, minutes, and official correspondence.
- Maintaining and organizing legal files, contracts, agreements, company documents, and confidential records.
- Assisting with the preparation and review of routine legal correspondence and documentation.
- Maintaining an effective filing and document retrieval system for legal and corporate records.
- Liaising with external lawyers, legal consultants, government agencies, regulatory bodies, and other official organizations when required.
- Scheduling meetings, appointments, hearings, and other legal or management engagements.
- Preparing meeting agendas, taking minutes, and circulating relevant documents where required.
- Managing incoming and outgoing legal correspondence and ensuring timely follow-up on outstanding matters.
- Maintaining a register of contracts, agreements, legal documents, and important deadlines.
- Assisting in tracking contract renewal dates, statutory deadlines, court dates, and other important legal timelines.
- Conducting basic legal research and gathering information as directed by the supervising lawyer or management.
- Ensuring that legal and corporate documents are properly stored, updated, and readily accessible.
- Handling confidential information with the highest level of discretion and professionalism.
- Providing general administrative and secretarial support to the legal function and management.
- Performing other duties as may reasonably be assigned.
Requirements
- Applicants must possess:
- A minimum of Bachelor's Degree, or equivalent qualification in Law.
- Prior experience as a Legal Secretary, Legal Assistant or Office Secretary.
- Good knowledge of legal documentation, contracts, agreements, correspondence, and filing systems.
- Excellent written and verbal communication skills.
- Strong computer skills, particularly Microsoft Word, Excel, email management, and document formatting.
- Ability to maintain strict confidentiality and handle sensitive legal and company information.
- Strong organizational, time management, and record-keeping skills.
- Excellent typing, proofreading, and document preparation skills.
- Ability to multitask, prioritize assignments, and work with minimal supervision.
- Professional appearance, good interpersonal skills, and a high level of integrity.
- Knowledge of basic Nigerian legal and regulatory procedures will be an added advantage.
