About the Role The Legal Practice Assistant will provide varied and more complex administrative support to attorneys in the Commercial Litigation Department. This role requires high attention to detail, strong communication, and confidentiality, with moderate supervision.

What You'll Do

  • Proactively maintain an overview of timekeepers’ workload and caseload; track tasks to completion.
  • Provide varied and more complex support to timekeepers with moderate supervision.
  • Create, edit, redline, and proofread documents from dictation, handwritten, typed, or electronic copy.
  • Maintain timekeepers’ calendars, coordinate travel, and file documents with courts and agencies, ensuring deadlines are met.
  • Process and route mail, faxes, and electronic communications; prepare outgoing mail and arrange messenger services as needed.
  • Review docketing reports for accuracy; coordinate with docketing staff to meet firm requirements.
  • Coordinate preliminary conflicts checks with Professional Standards.
  • Prepare new client/matter intake forms and engagement letters.
  • Assist with billing processes, including time entries and prebills, and prepare final with cover letter as appropriate.
  • Prepare accounting documents, including check requests and travel reimbursements.
  • Coordinate conferences, meetings, and appointments for timekeepers and clients; manage rooms and materials.
  • Set up and maintain administrative and client files; keep indices updated.
  • Maintain flexibility, keep supervisor informed, and provide assistance as needed within the team.
  • Adhere to firm policies and confidentiality agreements.

What We're Looking For

  • Specific skills: typing speed, MS Word/Outlook/Excel, organizational prowess, and familiarity with legal terminology.
  • Excellent English language skills, spelling, grammar, and writing.
  • Ability to work in the office five days per week.
  • Education: high school diploma or equivalent; five or more years of law firm experience preferred.
  • Strong interpersonal skills and the ability to build effective working relationships across teams.

Compensation & Benefits

  • Salary range: $56,750 to $90,800 annually (USD).
  • Benefits include: annual discretionary bonus, 401(k), medical, dental, and vision insurance, accrued paid time off starting at 20 days annually, personal medical and parental leave, up to ten paid holidays, and family care benefits.
