Job title: Legal Operations Coordinator
About the Role The Legal Operations Coordinator will serve as a central coordination point within the Legal Operations team, managing legal intake, triage and tracking of requests, and maintaining visibility across active matters and workflows. The role ensures accurate task assignment, queue management, reporting, and end-to-end tracking of legal work, while maintaining CLM platforms, repositories, templates, and SOPs with precision and accessibility.
What You'll Do
- Serve as the primary point of contact for incoming legal requests, triaging and routing tasks to the appropriate team member or queue.
- Maintain and update matter tracking systems to ensure accurate status, ownership, and priority across all open items; monitor queues and flag overdue or at-risk items.
- Generate regular status reports on open matters, completed requests, and workload distribution.
- Maintain and organize the legal documentation library, including templates, policies, playbooks, and executed agreements; ensure version control and accessibility.
- Support the upkeep and improvement of the CLM system and other legal repositories; assist with drafting and formatting process documentation and SOPs.
- Invoice & Billing management: receive, review, and process invoices from outside counsel and vendors; track status and coordinate with Finance for timely payments and accruals; maintain a billing tracker and monthly spend summaries; flag discrepancies and assist with budgeting.
- Provide general legal operations support including scheduling, logistics, onboarding materials, training documentation, and department communications; participate in process-improvement initiatives; handle sensitive information with discretion.
What We're Looking For
- Bachelor’s degree in Legal Management, Public Administration, International Relations, or related field; at least 5 years in legal administration or related roles with exposure to contract management, legal operations, regulatory compliance, labor and employment law, or corporate legal support.
- Strong experience in legal workflow coordination, intake management, matter tracking, and queue administration; hands-on experience with CLM platforms, matter management systems, or document repositories.
- Preferred: Juris Doctor (J.D.) or LL.B.; prior experience in Legal Operations within IT/technology environments; CLM/matter management, legal spend tracking, and outside counsel coordination.
- Exposure to IP administration (trademark/patent maintenance, renewals, or filings) and cross-regional operations is a plus.
- Behavioral: strong organizational and communication skills, ability to collaborate across teams; proficiency in Microsoft Office; experience with legaltech platforms is a plus.
