Job title: Legal Billing and Collections Specialist

About the Role Rawle & Henderson LLP seeks a dedicated Legal Billing and Collections Specialist to manage firm-wide billing and collections in Philadelphia. This role serves as liaison between attorneys, clients, and accounting, ensuring accurate and timely invoicing and collections.

What You'll Do

  • Prepare and process monthly billing in accordance with the firm’s policies and client-specific guidelines.
  • Print, review, and finalize pre-bills and invoices.
  • Execute complex billing arrangements, including fixed fees, discounts, split billing, and electronic invoicing.
  • Respond to internal and client billing inquiries promptly and professionally.
  • Monitor invoice payments, follow up on outstanding balances, and assist with collections.
  • Liaise with third-party software and payment processors to troubleshoot issues.
  • Provide updates on accruals, budgets, and outstanding balances.
  • Generate monthly reports and assist with special projects as needed.
  • Support the Billing Supervisor and broader accounting team as necessary.
  • Review invoices and collections reports on an ongoing basis, track payments, and communicate with firm leadership to provide reports and identify collections issues.
  • Obtain a full understanding of firm billing matters and identify and resolve billing discrepancies.

What We're Looking For

  • Minimum of 3 years of prior billing experience in a law firm environment is strongly preferred.
  • Aderant experience preferred.
  • High attention to detail and ability to manage complex billing with accuracy.
  • Proficiency in Microsoft Word, Outlook, Excel, Adobe, and billing/accounting platforms.
  • Ability to thrive in a fast-paced environment and handle high volumes of billing.
  • Strong interpersonal skills and the ability to collaborate effectively with attorneys, paralegals, staff, and clients.
  • Demonstrated ability to identify and resolve billing discrepancies.

Nice to Have

  • Aderant experience preferred.

Compensation & Benefits

  • Anticipated Compensation: $55,000.00 – $65,000.00 per year
