Overview
Join Tata 1mg as a Lead Associate in Facilities & Workplace Experience to oversee end-to-end corporate office operations, vendor management, budgeting and reporting, travel desk services, and space management. You will ensure high standards of workplace experience, compliance, and efficiency across the office environment.
Responsibilities
- Manage day-to-day corporate office operations across floors, including housekeeping, reception, pantry, security, asset management, and guest handling, while upholding consistent service standards aligned with the organizational culture.
- Develop and maintain standard operating procedures for soft and hard services.
- Oversee end-to-end vendor management, including onboarding, SLA/KPI tracking, performance reviews, contract renewals, and negotiations to ensure high-quality service delivery.
- Maintain relationships with vendors for AMC, housekeeping, F&B, travel desk, and civil/MEP services.
- Build and manage annual OPEX/CAPEX budgets for facilities operations; own monthly MIS reporting and variance analysis; drive cost optimization and operational efficiency initiatives; support office expansion and consolidation forecasting.
- Supervise travel desk and corporate services, including flights, hotels, cabs, visa coordination, travel policy compliance, and travel agency relationships; monitor related MIS.
- Manage space allocation, workspace utilization, and capacity planning; coordinate with landlords, PMC teams, and internal stakeholders on workplace infrastructure projects.
- Ensure adherence to EHS standards, fire safety norms, statutory compliances, and workplace regulations; conduct audits, safety drills, and maintain compliance documentation and AMC records.
Requirements
- 57+ years of experience in Facilities, Administration, Workplace Experience, or IFM roles.
- Proven track record managing HQ or multi-floor corporate office operations.
- Strong experience in vendor management, stakeholder management, and overall workplace operations.
- Experience in OPEX/CAPEX ownership, budget reporting, and annual operating plan planning.
- Hands-on experience managing travel desk and corporate services operations.
- Strong analytical, problem-solving, and operational management skills.
- Advanced Excel and MIS reporting capabilities; experience with Zoho or similar facilities management platforms.
- Graduate in Hospitality, Management, Engineering, or a related field.
- Prior experience with IFM firms such as JLL, CBRE, or similar organizations is preferred.
- Exposure to workplace wellness, IAQ, or green building initiatives is an added advantage.
