Inventory Officer
Job Summary
The Inventory Officer is responsible for maintaining accurate inventory records, reconciliation and lot traceability. The role records receipts, dispatches, transfers and stock movements, maintains lot and batch identification, conducts physical stock counts and reconciliations, tracks and investigates inventory variances, maintains supporting documentation and traceability, and coordinates with Warehouse, Quality and Procurement, ensuring inventory data remains accurate, reliable and audit-ready.
Job Details
- Receipts, Dispatches, Transfers and Stock Movement Recording
- Record all receipts, dispatches, transfers and stock movements accurately and promptly in the inventory system/records.
- Ensure recorded transactions match supporting documentation and physical movements.
- Supplier Transaction and Payment Support Review
- Review supplier transactions and supporting documentation for payments, ensuring transactions are properly authorised, accurately recorded and adequately supported.
- Update lot/batch records promptly as stock moves through receipt, storage, processing and dispatch.
- Physical Stock Counts and Reconciliation
- Conduct periodic physical stock counts, comparing physical quantities against system/inventory records.
- Reconcile stock counts and update records to reflect verified physical stock.
- Inventory Variance Tracking and Investigation
- Track inventory variances arising from stock counts, movements or reconciliations, and investigate root causes.
- Report significant variances and recommend corrective actions to the Business Manager / Lead Procurement.
- Supporting Documentation and Traceability Maintenance
- Maintain complete and accurate supporting documentation for all inventory transactions, ensuring full traceability of commodity movement.
- Ensure documentation is properly filed and readily available for audit or verification.
- Coordination with Warehouse, Quality and Procurement
- Coordinate with Warehouse, Quality Control and Procurement teams to ensure inventory records accurately reflect commodity status and movement across functions.
- Resolve data discrepancies between inventory and other functional records promptly.
Requirements
- HND/B.Sc. in Accounting, Business Administration, Supply Chain Management, or a related field. Relevant certification in inventory/stock management is an advantage.
- Familiarity with inventory management systems and reconciliation practices is desirable.
- Minimum of 2-4 years' experience in inventory/stock control, preferably within an agro-commodity, warehousing, or manufacturing environment.
