Job title: Human Capital & Payroll Specialist

About the Role Responsible for delivering a robust Human Capital and Payroll function to support the Management Team. Works closely with operational managers to deliver high-quality employee services, including recruitment, payroll, benefits, policy administration, and lifecycle management.

What You'll Do

  • Circulate divisional and group vacancies; assist with screening applicants for vacancies; advise managers on market related packages for advertised roles.
  • Provide dummy payslips when required; onboard new employees and coordinate monthly payroll; ensure payroll input packs are accurate and submitted before deadlines; manage overtime and commissions submissions.
  • Prepare and distribute employment contracts; create new employee checklists and maintain personnel information in VIP and other systems; facilitate electronic filing of employee data.
  • Process benefits: submit and follow up on claim withdrawals, liaise with provident fund on disability applications and claims, evaluate and adjust benefits plans; coordinate annual Employee Wellness activities.
  • Terminations: coordinate exit interviews and reports; submit monthly termination lists to IT.
  • EE and Worker Forums: prepare/update monthly EE/Worker Forum reporting; submit stats to Shared Services HC; participate in forums, take minutes, and distribute on notice boards; ensure monthly stats reach HR.
  • Policies: ensure current HC policies and processes are electronically accessible; ensure standard employee lifecycle stages are carried through.
  • Reports: prepare and submit weekly/monthly HC and payroll reports (headcount, staff movement, IR activity, disciplinary, EE progress); produce payroll reports for management analysis.
  • General Administration: keep Job Descriptions, Job Profiles, Skills audits, Contracts, and Performance Reviews up to date; distribute payslips and benefit statements; issue Long Service Certificates; ensure timely payment of 3rd party suppliers; coordinate annual declarations; implement HC initiatives; attend HC forums; maintain employee data in VIP People; report changes to payroll; maintain accurate HC records; handle internal/external queries with prompt feedback; manage communications.
  • Training: coordinate department induction sessions; keep employees updated on business changes, structure, policy, and market-related developments.

What We're Looking For

  • Grade 12/Matric + relevant tertiary qualification (Diploma/Degree in Human Resources Management, Industrial Relations, Industrial Psychology (advantageous), Labour Relations, Payroll).
  • Code 8 driver’s license.
  • Minimum 3+ years’ experience in a similar environment with primary responsibility for benefits administration and support of HC functions.
  • Working knowledge of Kerridge; familiarity with MEIBC Main Agreement.
  • Excellent computer literacy (Microsoft Office, especially Excel and Word).
  • Knowledge of Labour Relations Act, Basic Conditions of Employment Act, Employment Equity Act, Skills Development Act.
  • Strong customer service orientation; excellent interpersonal, communication (verbal/written), and relationship-building skills; ability to work under pressure; proactive, detail-oriented, with high integrity and confidentiality.
  • Positive, self-starter attitude; organized and able to meet tight deadlines; change champion.

Nice to Have

  • Industrial Relations knowledge (advantageous).
