HR Operations Coordinator
2-3 month contract (Could extend)
Remote with the ability to occasionally work onsite in New York, NY 10027
$30-33hr
Must-Haves
Bachelor's Degree
Experience supporting HR, payroll, employee services, or other high-volume operational function
Intermediate to advanced proficiency with Microsoft Excel, including formulas, filters, lookups, data comparisons, and reconciliation
Experience with a case-management or ticketing system
Preferred:
Master's degree

The Temporary HR Operations Specialist will provide operational support for graduate-student and employee-related HR and payroll processes. The position requires strong attention to detail, proficiency with Excel, sound judgement regarding escalation, professional written communication, and the ability to handle confidential information appropriately.
Primary Responsibilities:
Inquiry and Case Management
Monitor and triage employee and student inquiries received through the Grad Pay and Pay mailbox and ServiceNow
Review and categorize inquiries and respond to routine questions using approved templates, boilerplate language, and documented procedures
Follow established response and escalation protocols; do not independently interpret policy or develop responses to nonstandard questions
Identify inquiries that fall outside established guidance, compile relevant information, and route them to the appropriate HR or Payroll team member for review
Document actions taken and maintain accurate records of open, pending, escalated, and completed inquiries
Follow up on outstanding items to support timely resolution
Roster and Attestation Support
Provide backup support for the twice-monthly roster-request process
Submit and track ServiceNow requests for rosters in accordance with the established schedule
Review roster information for completeness and identify discrepancies requiring follow-up
Enter partial attestations into the attestation system based on approved documentation and established procedures
Maintain records of roster requests, attestations, and unresolved items to support subsequent payroll review and reconciliation
Payroll Review and Reconciliation
Using approved roster and attestation information, review payroll dock and retroactive pay calculations using established procedures and Excel-based tools
Reconcile payroll-related data across reports and source files
Validate calculations and supporting data for completeness and accuracy
Identify discrepancies, missing information, and other exceptions, and escalate them for further review
Maintain trackers documenting calculations, corrections, approvals, and outstanding items
Reporting and General HR Support
Prepare recurring and ad hoc Excel reports, including sorting, filtering, comparing, and reconciling data
Perform data-quality reviews to identify missing, inconsistent, or potentially duplicative information
Assist with routine HR transactions, status tracking, and documentation based on established procedures
Help maintain process guides, standard response templates, trackers, and other operational documentation
Provide backup support for other time-sensitive HR operational activities consistent with the responsibilities and level of the position
Confidentiality and Compliance
Maintain the confidentiality of employee, student, payroll, and other sensitive information
Follow established HR procedures, data-security requirements, approval protocols, and escalation guidelines
Perform other related HR and/or Payroll operational duties consistent with the responsibilities and level of the position, as assigned
Required Qualifications
Intermediate to advanced proficiency with Microsoft Excel, including formulas, filters, lookups, data comparisons, and reconciliation
Experience supporting HR, payroll, employee services, or other high-volume operational function
Strong written communication skills and the ability to communicate professionally using approved templates and standardized language
Ability to follow detailed procedures consistently and recognize when an issue requires escalation
Strong attention to detail and demonstrated accuracy when reviewing calculations and large datasets
Ability to manage multiple deadlines, track outstanding items, and work independently in a fully remote environment
Demonstrated discretion when handling confidential employee, student, and payroll information
Experience with a case-management or ticketing system; ServiceNow experience is preferred
