Venmac Resources Limited is a hospitality management, consulting, HR, training, recruitment, and technology solutions company serving hotels, apartments, restaurants, and other hospitality businesses.

We are seeking a highly organised, hardworking, intelligent, and proactive HR & Administrative Assistant to work closely with the Managing Director in coordinating HR, administrative, documentation, communication, and operational activities.

This is a fast-paced role that requires someone who can think quickly, write professionally, follow up effectively, manage multiple tasks, and take responsibility without constant supervision.

Key Responsibilities

  • HR Support

  • Assist with recruitment, candidate sourcing, screening, interview scheduling, and follow-up.

  • Maintain and regularly update staff and candidate databases.

  • Prepare interview invitations, employment letters, HR correspondence, memos, and other HR documents.

  • Assist with onboarding and staff documentation.

  • Maintain proper and confidential employee records.

  • Support staff performance monitoring, appraisals, attendance, leave, and disciplinary documentation.

  • Assist in preparing HR reports and management updates.

  • Follow up with candidates, staff, clients, and other stakeholders as required.

  • Administrative Support to the MD

  • Provide direct administrative and executive support to the Managing Director.

  • Manage schedules, appointments, meetings, reminders, and follow-ups.

  • Prepare meeting notes, reports, presentations, letters, proposals, and other business documents.

  • Track assignments given by the MD and ensure timely follow-up and completion.

  • Organise and maintain physical and digital files.

  • Assist in coordinating meetings, trainings, interviews, and company activities.

  • Handle confidential information with discretion and professionalism.

  • Documentation & Filing

  • Develop and maintain an organised filing system for HR and administrative documents.

  • Properly organise CVs, employee records, client documents, contracts, reports, and correspondence.

  • Ensure documents can be retrieved quickly when required.

  • Maintain accurate databases and trackers.

  • Ensure important documents are properly backed up and stored digitally.

  • Communication & Follow-Up

  • Draft professional emails, WhatsApp messages, letters, reports, and other communications.

  • Follow up with candidates, employees, clients, vendors, and business partners.

  • Monitor pending tasks and ensure that deadlines are not missed.

  • Communicate professionally on behalf of the MD when required.

  • Maintain a high standard of written and verbal communication.

  • Digital & Technology Support

  • Use Microsoft Word, Excel, PowerPoint, Google Workspace, email, WhatsApp Business, and other digital productivity tools effectively.

  • Use digital tools to improve organisation, documentation, communication, and workflow.

  • Maintain electronic databases and trackers.

  • Demonstrate the ability to quickly learn and adapt to new software and technology.

  • Social Media & Content Support

  • Assist with basic social media activities for Venmac Resources Limited.

  • Support the preparation, editing, scheduling, and posting of basic social media content.

  • Understand basic social media platforms and professional online communication.

  • Assist in gathering content from company activities, trainings, recruitment exercises, and hospitality projects.

  • Support the MD and company in maintaining a professional digital presence.

  • Hospitality & Training Support

  • Assist in coordinating hotel recruitment and HR assignments.

  • Support training programmes, workshops, interviews, and hospitality consulting projects.

  • Communicate with hotel management and staff when assigned.

  • Assist with preparation of training materials, attendance records, evaluation forms, and reports.

  • Develop a practical understanding of hospitality operations and HR practices.

  • Required Qualifications & Experience

  • Bachelor's degree or HND in Human Resources, Business Administration, Hospitality Management, Public Administration, or a related field.

  • 1–3 years of relevant work experience, preferably in hospitality, hotel administration, HR, recruitment, or a related service environment.

  • Previous experience working in a hotel or hospitality company will be an advantage.

  • Strong administrative and organisational skills.

  • Excellent writing and documentation skills.

  • Good knowledge of Microsoft Office and digital productivity tools.

  • Basic understanding of social media management.

  • Ability to work under pressure and manage multiple responsibilities.

  • This is not a routine desk job. The successful candidate will work closely with the Managing Director and will be expected to support multiple areas of the business.

  • We are looking for someone who can think ahead, anticipate needs, organise information, follow through on instructions, communicate professionally, and get things done.

  • The ideal candidate should not need to be reminded repeatedly about tasks. They should be someone who can receive an assignment, understand what is required, take ownership, and return with results.

  • Remuneration

  • ₦120,000 – ₦150,000 monthly, depending on experience, competence, and suitability for the role.
