This guidance helps ensure compliance with federal regulations and proper administration by the FAO. What You'll Do

  • Determine the withdrawal date for official withdrawals and, for unofficial withdrawals, use the midpoint of the semester or the last date of academic activity as documented by the instructor.
  • Apply the earned vs. unearned framework: calculate earned funds based on attendance and time, using Earned = Days Completed / Total Days in Payment Period and Unearned Percent = 100% - Earned Percent, and apply the 60% rule (if 60% earned, then 100% of title IV funds were earned; after 60%, there are no unearned funds to return).
  • Process the return of unearned Title IV funds to the federal government and determine any disbursement adjustments (e.g., late disbursements if earned more than disbursed).
  • Use the official formula for Return of Title IV Funds and adhere to the order of return to federal aid programs.
  • Assess official vs unofficial withdrawals using URG grading policies (A–D, S as passing; F/U as attending but failing; I as incomplete; NF as unofficial withdrawal; 100% unofficial withdrawal when all courses attempted have NF).
  • Notify students of repayment obligations within 30 days of the withdrawal determination and bill for amounts owed to Title IV programs.
  • Monitor and document the impact of grades and attendance on withdrawal determinations and communicate outcomes to students and campus stakeholders. What We're Looking For
  • Knowledge of Title IV funds and the Return of Title IV Funds requirements (Section 484B and related URG policy).
  • Ability to determine withdrawal dates accurately (official vs unofficial) and apply the appropriate timelines.
  • Familiarity with URG's grading policy (A–S passing; F/U; I; NF) to identify unofficial withdrawals.
  • Skill in calculating Earned and Unearned portions and applying the federal formula for fund return.
  • Capacity to communicate clearly with students regarding repayments, deadlines, and potential disbursement adjustments.
  • Attention to regulatory compliance and ability to operationalize policy into consistent administrative practice.
