Job title: Guest Services Coordinator

About the Role The Guest Services Coordinator serves as the first point of contact for Admissions visitors and inbound college calls, staffing the Welcome Center and supporting the Admissions Office with daily visits, events, and administrative tasks. The role requires independent work, collaboration, strong communication skills, discretion with confidential information, and a commitment to exceptional customer service.

What You'll Do

  • Provide front-line service for all Alma College campus visitors.
  • Manage incoming calls to the Admissions Office and main line; route calls to appropriate staff.
  • Direct inquiries to the correct campus resources.
  • Help create inclusive and welcoming programming and materials for daily visits and events.
  • Prepare materials for guests and ensure check-in and guided visit experiences.
  • Distribute incoming mail and provide routine correspondence with building staff.
  • Coordinate with facilities and security about campus space availability and cleanliness.
  • Train Welcome Center student employees in collaboration with the Visit Coordinator and Associate Director.
  • Participate in student employee training and development initiatives.
  • Maintain a working manual of Welcome Center responsibilities.
  • Manage correspondence from walk-ins, email, phone, and letters.
  • Oversee inventory and ordering of office supplies.
  • Perform other duties as assigned.

What We're Looking For

  • Associate's degree or one year of related experience.
  • Experience with Windows and Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Ability to multi-task and meet deadlines.
  • Excellent written and verbal communication.
  • Ability to work with confidential information.
  • Availability to work weekends and evenings as needed.
  • Excellent organizational skills.

Nice to Have

  • Two years of related experience in office administration and customer service.
  • Knowledge of Ellucian Colleague database and Slate CRM.
  • Experience working with underrepresented, first-generation, Pell-eligible, and diverse populations.

  • Alma College offers a comprehensive benefits package to employees in eligible positions working 30 hours or more per week, including medical, dental, and vision coverage; retirement plans; flexible spending accounts; life insurance; long-term disability; paid holidays; vacation; and sick leave.
