About the Role

Montreat College seeks a Graduate Assistant to provide critical operational support to the Student Financial Services office, ensuring the seamless processing of student records, financial documentation, and departmental communications. This role requires high attention to detail, a commitment to data privacy, and a proactive approach to student service.

What You'll Do

  • Manage daily access and maintenance of the NetPartner Financial Aid Portal, including unlocking accounts and resetting student passwords.
  • Monitor and update student email records between Jenzabar and PowerFaids to ensure data synchronization.
  • Execute "Counselor Updates" three times weekly to support the awarding process.
  • Monitor the PIDA and FAFSA Waiver inboxes daily; record received documents in PowerFaids, convert files to PDF, and update internal comments.
  • Cross-check and update the NCNBS website against PowerFaids and assist with the Remit to State project as directed.
  • Conduct daily physical and digital filing to ensure all student records are organized and audit-ready.
  • Facilitate MS charges and coordinate with the Business Office for final posting.
  • Conduct monthly outreach for uncashed checks and manage Returned Mail by contacting students for updated addresses.
  • Verify and categorize refunds; apply or remove student account holds (TS/BS) as directed by leadership.
  • Maintain a high response rate for the general departmental inbox, providing timely and accurate information.
  • Perform weekly Quality Control on pending loans for registered students and clear unnecessary loan documents for those who declined aid.
  • Lead outreach campaigns (calls/emails) in the weeks prior to student check-ins to resolve missing documentation.
  • Generate student invoices and assist with various departmental projects as assigned.
  • What We're Looking For
  • Confidentiality and FERPA compliance; ability to handle sensitive student financial data with total discretion.
  • Strong verbal and written communication for professional phone calls and email correspondence.
  • Tech Savvy: proficiency in Microsoft Office (Excel and PDF management); ability to learn specialized software like PowerFaids, Jenzabar, and NetPartner.
  • Reliability: ability to maintain a consistent daily and weekly schedule to meet processing deadlines.
