Job Summary
We are seeking a professional, courteous, and organised Front Desk Officer to serve as the first point of contact for visitors, clients, and other stakeholders. The successful candidate will manage the reception area, handle enquiries and communications, coordinate visitors, and provide administrative support to ensure the front office operates smoothly and professionally.
Key Responsibilities
- Welcome and attend to visitors, clients, and guests professionally and courteously.
- Serve as the organisation's first point of contact and create a positive experience for visitors.
- Receive, screen, and direct telephone calls, messages, and enquiries to the appropriate personnel.
- Respond to routine enquiries in person, by phone, email, or other communication channels.
- Manage the reception area and ensure it remains clean, organised, and presentable.
- Maintain accurate records of visitors, appointments, calls, deliveries, and other relevant activities.
- Schedule and coordinate appointments, meetings, and visitor arrangements.
- Receive and distribute correspondence, parcels, documents, and other deliveries.
- Provide basic administrative and clerical support to relevant departments.
- Assist with photocopying, printing, filing, scanning, data entry, and preparation of documents when required
Requirements
- A Bachelor's Degree, HND, or OND in Business Administration, Public Administration, Mass Communication, or a related field.
- Proficiency in Microsoft Office or Google Workspace.
- Previous experience in a front desk, receptionist, customer service, hospitality, or administrative role is an advantage.
- Excellent verbal and written communication skills.
- Good interpersonal and customer-service skills.
- Strong organisational and multitasking abilities.
- Good attention to detail and record-keeping skills.
- Professional appearance and a pleasant, approachable manner.
- Ability to remain calm and professional when dealing with difficult or demanding visitors or situations.
- Ability to work independently while also collaborating effectively with other team members.
