As Finance and Operations Assistant, you will work closely with the Business Manager to support our department's financial administration, post-award activities, and day-to-day operations. Relying on your relentless attention to detail and strong organizational skills, you will process financial and payroll transactions, monitor and reconcile financial accounts, support post-award administration, and coordinate a range of operational activities that contribute to the effective functioning of the Department.

Your responsibilities will include:

  • Act as a primary point of contact for financial inquiries, triage information and maintain an organized physical/digital filing system
  • Prepare, verify, and process accounts payable/receivable, expense reimbursements, invoices, payroll and deposits in accordance with the University Guide to Financial Management
  • Provide operational support for the department, including writing routine documents and correspondence, coordinating supplies and equipment, and supporting other day-to-day operational needs
  • Monitor post-award financial administration activities by maintaining award tracking records, monitoring payment schedules and reporting requirements
  • Generate standard financial reports and gather information to support departmental planning and reporting

Essential Qualifications:

  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience
  • Minimum two (2) years relevant financial support experience
  • Demonstrated experience processing financial transactions and preparing financial reconciliations
  • Experience interpreting and applying financial guidelines and procedures
  • Experience maintaining databases, including compiling, sorting and organizing financial data, and generating reports
  • Experience providing operational and administrative support, including maintaining office equipment and supply inventory and coordinating space, facilities, and other day-to-day operational needs
  • Experience supporting post award administration
  • Advanced proficiency with M365, particularly MS Excel, and experience with SAP systems, including FIS and HRIS
  • Excellent communication (written and verbal) and interpersonal skills
  • Strong numerical, accounting, financial and analytical skills, with the ability to analyze information and resolve discrepancies
  • Strong organizational skills and an ability to multi-task on varied duties
  • Ability to accurately interpret and apply guidelines, procedures and regulations in a variety of situations, and the ability to professionally communicate intricate financial procedures
  • Excellent attention to detail and a high degree of accuracy
  • Ability to exercise good judgment and tact in dealing with faculty members, students and staff
