Finance & Administrative Operations Coordinator
Location: Cachan, France (Office-Based)
Main Responsibilities

- Finance – Sales Administration, Customer Accounts & Billing
-
Manage customer account administration and maintain accurate client records.

Coordinate with Sales and Customer Success teams to ensure the accuracy of information required for invoicing.

Create and update customer accounts and subscriptions within internal systems.

Review, monitor, and correct monthly invoicing activities.

Allocate and reconcile incoming customer payments.
-
Handle customer inquiries and billing-related disputes or claims.

Monitor outstanding balances and overdue payments, coordinating with relevant stakeholders regarding account closure and debt collection processes.

Prepare data extracts, reports, and performance tracking information.

Verify customer accounting records and provide administrative support to the Finance team.

- Office Management – Facilities & Personnel

Coordinate day-to-day office operations and facilities management, including maintenance, repairs, heating and air conditioning, office access management, mail handling, vendor coordination, security infrastructure, workspace setup, office furniture, and common area management.

Manage and track office equipment, supplies, and consumables orders.

Coordinate and follow up on various internal operational requests.

Administer and maintain personnel-related documentation and routine administrative processes, including employee onboarding and offboarding, occupational health appointments, meal vouchers, absences, and sick leave administration.

Prepare and distribute internal communications.

Support the planning and organization of internal events.

Candidate Profile
-
Higher education qualification in Business Administration, Management, SME Management, or a related field.

Ideally, initial experience in administrative management, billing, accounting, and customer administration.

Good understanding of personnel administration and general office services processes.

Comfortable working with IT systems and data management tools.
-
Well-organized, detail-oriented, and capable of managing priorities independently.

Excellent interpersonal and communication skills, with the ability to work effectively with both internal and external stakeholders.

Flexible, proactive, and solution-oriented.

Fluent in English and interested in working within an international environment.

Enjoys a varied role and is able to balance administrative responsibilities with operational office management activities.

Previous experience in office management is preferred.
