Job Title: Finance, Administration and People & Culture Assistant

Summary
- The Finance, Administration & People & Culture (P&C) Assistant provides day-to-day operational support to the Nigeria Country Lead and team across finance, office administration, and people-related activities.
- By ensuring timely financial administration, efficient office operations, and accurate personnel documentation, the role strengthens the Nigeria office’s effectiveness.
- It supports VillageReach’s broader goal of building responsive, well-run country programs that deliver primary health care to under-reached communities.
Responsibilities
Essential Duties and Responsibilities include the following. Other duties, responsibilities, and activities may change or be assigned at any time:
- Support financial administration for the Nigeria office, including preparing, organizing, and submitting invoices, payment requests, expense reports, advances, and supporting documentation.
- Review financial documentation for completeness, support monthly financial close, and assist with basic budget tracking and expenditure monitoring.
- Prepare financial documentation for audits, donor reviews, and internal compliance reviews, and liaise with vendors on invoices and routine payment matters.
- Provide administrative support for recruitment, onboarding, employee documentation, and offboarding, working closely with the People & Culture team.
- Maintain accurate and confidential personnel records, and track probationary periods, contract dates, leave records, and mandatory training deadlines.
- Coordinate day-to-day office operations, including logistics for meetings, workshops, trainings, and team events, and support staff travel arrangements.
- Maintain office records, filing systems, and administrative trackers, and coordinate procurement of routine office supplies and services.
- Maintain records of office equipment and organizational assets, and coordinate with landlords, IT providers, security providers, and other vendors.
- Support the Country Lead by maintaining key operational calendars and trackers, coordinating team meetings, and following up on agreed action points.
- Provide additional operational, financial, and people-support assistance to the Nigeria team during periods of increased program activity.

Education & Experience:
- Bachelor’s Degree or equivalent qualification in Finance, Accounting, Business Administration, Human Resources, Management, or a related field.
- 2–4 years of relevant professional experience in finance, administration, HR/People & Culture, operations, or a comparable support role.
- Experience supporting financial transactions, documentation, expense management, or basic financial reconciliation.
- Experience with administrative coordination and office operations.
Other Qualifications:
- Established cultural competency in partnering with racial, cultural and linguistically diverse groups.
- Demonstrated understanding of challenges with working in rural, underserved and low-income contexts; experience living in and/or working in a low-income country a plus.
- Proficient in Microsoft Office Suite (Word, PowerPoint, Outlook, Excel) and comfortable in a fast-paced technical environment.
- Strong written and verbal communication skills in English; proficiency in a local Nigerian language (e.g. Hausa, Yoruba, or Igbo) is an advantage.
- Legal authorization to work in Nigeria.
- Previous experience with an international NGO, nonprofit, development organization, or other multi-country organization.
- Experience supporting recruitment, onboarding, employee records, or other HR/People & Culture processes.
- Familiarity with Nigerian employment and statutory administrative requirements.
- Experience working with financial, HRIS, payroll, procurement, or ERP systems.
- Experience supporting donor-funded projects or programs.

Environment and Physical Demands:

VillageReach employees typically work in a shared, open environment with task and conference rooms accessible to employees for privacy and meetings. The noise level in the work environment is usually quiet. Due to the time zone differences across our USA, Kenya and Country Offices and location of other global staff, we have established core collaboration hours between 6am Pacific Time and 18:00 South Africa Time (GMT+1) Monday through Thursday. All staff, regardless of location are expected to be available between these hours. During Daylight Savings Time, this allows for 12 hours per week (3 hours/day) of collaboration time and during Standard Time, 8 hours (2 hours/day). We do not hold cross-office meetings on Friday.

This is primarily an office-based role in Abuja, requiring the ability to sit at a desk and use a computer for extended periods. The role may occasionally require light lifting of office materials and supplies, and occasional local travel to meetings, workshops, or field-related activities as needed.

Compensation & Benefits

VillageReach has an established compensation structure that is based on the relevant market and internally transparent.

The range for this position is entry point $55,300 to midpoint $73,700 annually. We hire people into the established range based on one’s experience and education and considering internal equity.
