Field Documentation and Digital Records Officer

The Field Documentation and Digital Records Officer will document field activities and maintain accurate, secure and well-organised physical and digital project records across all three projects.

Duties and responsibilities

  • Document interviews, field visits, meetings, training, installations, workshops and stakeholder engagements.
  • Capture approved photographs, audio recordings, videos and field notes.
  • Maintain consent forms, attendance records, transcripts, activity reports and other supporting evidence.
  • Organise records using consistent file names, metadata and version-control procedures.
  • Upload, back up, retrieve and securely share authorised project records.
  • Verify the completeness and accuracy of field documentation before filing or archiving.
  • Support the integration of approved research materials into relevant digital platforms and archives.
  • Observe confidentiality, research ethics, data-protection, safeguarding and donor-visibility requirements.

qualification and experience

  • Bachelors degree in records management, archives, information management, communication, research or a related field.
  • Experience in field documentation and electronic records management.
  • Competence in photography, audio or video documentation and digital filing systems.
  • Strong attention to detail and understanding of confidentiality and data protection.
  • Experience in Digital archiving is an added advantage
  • Masters degree in the relevant area is an added advantage
