Description

  • We are seeking a professional, well-presented and highly dependable School Administrative Officer to support front office operations and work closely with the Head of School (Administration), to whom this role reports.
  • As the first point of contact for pupils, parents and visitors, the School Administrative Officer plays an important role in shaping the daily experience and overall impression of the school.
  • The School Administrative Officer will ensure the smooth and professional running of the front office while providing essential administrative support across the school.

Key Responsibilities

  • Serve as the first point of contact for pupils, parents, staff and visitors, ensuring a professional, welcoming and well-managed front office experience.
  • Manage enquiries from prospective parents, responding professionally and providing accurate information about the school’s programmes and admissions procedures, while directing matters appropriately when required.
  • Manage visitor reception and access procedures in accordance with the school’s safeguarding and operational standards.
  • Maintain accurate pupil attendance, punctuality and absence records, ensuring timely follow-up where required.
  • Provide administrative support to the Head of School (Administration), ensuring school records, documentation and office systems remain organised, accurate and up to date.
  • Coordinate the effective management of school calendars, notice boards and communications, ensuring information is accurate, current and well presented.
  • Maintain a professional, organised and efficient reception and office environment that reflects the school’s standards.
  • Provide administrative support for meetings, events and other school activities as required.
  • Support communication with the school community by capturing and sharing appropriate photographs and videos of classroom activities, school events and learning displays using a Smartphone and simple digital tools such as capcut, canva etc; ensuring images are clear, well presented and reflect the school’s organised learning environment and positive pupil engagement, for use in newsletters, school updates and social media platforms.

  • We are seeking a professional and personable individual who combines warmth with professionalism, with a polished appearance, a composed front-facing presence, strong initiative and the attention to detail required to excel in a premium school environment.

Requirements

The successful candidate will have:

  • A Bachelors Degree or HND in Business Administration, Office Management, Education Management or a related discipline

  • A minimum of 4 years experience in school office coordination or administrative role

  • Excellent written and verbal communication skills, with the maturity and judgement to engage confidently and professionally with parents, staff and visitors.

  • High level proficiency Microsoft Office applications and confidence working with digital systems, databases and administrative platforms.

  • Clear and legible handwriting suitable for maintaining accurate, professional and well-presented records where written materials are required.

  • Strong organisational skills, exceptional attention to detail and the ability to manage multiple responsibilities while maintaining accuracy and follow-through.

  • A proactive and dependable approach to work; with the ability to take initiative, anticipate needs and maintain high standards with minimal supervision.
