About this role

Facilities Manager

Location: London, Fitzrovia

What this job involves

JLL is seeking an experienced Facilities Manager to lead on-site service delivery for a high-profile technology client in London, operating under a Managing Agent commercial model. The client operates to exceptionally high standards for workplace experience, uptime, and brand presentation, and expects a proactive, detail-driven FM who can manage third-party supplier performance as closely as an in-house team. This is a hands-on, highly visible role covering both hard and soft services across a premium occupied environment.

This is a 100% on-site role requiring full-time daily presence to ensure hands-on operational oversight and immediate responsiveness.

What your day-to-day would look like:

Managing Agent & Supplier Governance

  • Act as the day-to-day client-facing lead for all outsourced hard, holding third-party suppliers to agreed KPIs, SLAs, and JLL/client standards.
  • Chair and minute regular supplier performance reviews; manage escalation, remedial action plans, and continuous improvement logs.
  • Own the supplier governance framework for the site — contracts, method statements, RAMS, insurance certificates, and compliance evidence — ensuring full audit readiness at all times.
  • Support client annual budget by assisting in sourcing supplier costs and services.

Hard Services

  • Oversee statutory and planned preventative maintenance (PPM) delivery across M&E, BMS, fire/life safety, and critical environments, ensuring zero unplanned downtime to the client's operations.
  • Monitor CAFM completion, close-out evidence, and asset lifecycle data; escalate risk items immediately.
  • Manage small works and minor project delivery on site, coordinating access, permits to work, and contractor inductions.

Soft Services

  • Run daily floor walks and quality audits; support with guidance from client the site's front-of-house presentation and visitor experience.
  • Client & Stakeholder Management
  • Build a trusted, embedded relationship and work seamlessly alongside the client’s internal Workplace leads, maintaining continuous alignment on site operations, building status, and planned interventions
  • Prepare and present monthly performance packs, budget-vs-actual commentary, and risk registers to the client and to the JLL Account Director.
  • Always represent JLL professionally, given the client's high public profile and standards for confidentiality and discretion.

Health, Safety & Compliance

  • Hold day-to-day responsibility for H&S compliance on site, including permit-to-work control, contractor management, and incident reporting/RCA.
  • Ensure the site's compliance documentation (statutory certification, risk assessments, emergency plans) is current and inspection ready.

Person Specification

Experience

  • Proven Facilities Management experience in a corporate or technology/campus environment, ideally within a Managing Agent or outsourced IFM model.

  • Demonstrable experience managing multiple hard and soft services suppliers concurrently, with strong commercial and contract literacy.

  • Experience operating in a client environment with exacting standards for uptime, presentation, and confidentiality.

  • Skills & Attributes

  • Strong stakeholder management skills; comfortable operating confidently with senior client contacts.

  • Structured, detail-oriented, and comfortable holding suppliers to account against hard KPIs and evidence.

  • Calm under pressure, with sound judgement on escalation and risk prioritisation.

  • Confident using CAFM, CMMS, or equivalent FM management systems and producing clear written reporting.

  • Ability to adapt to constantly evolving priorities in a fast-paced environment

  • Exceptional soft skills with a highly collaborative mindset, building strong relationships with the broader Workplace and Experience teams.

Qualifications

  • IWFM (or equivalent) qualification desirable — Level 3 minimum, Level 4/5 preferred.

  • IOSH Managing Safely or NEBOSH General Certificate desirable.

  • Full understanding of UK H&S legislation relevant to facilities operations.

  • What Success Looks Like

  • Zero unplanned service disruption to the client's critical operations.

  • Supplier performance consistently meeting or exceeding agreed KPIs/SLAs, evidenced and audit-ready.
