What this job involves:

As a Facilities Coordinator at JLL, you'll play a vital role in keeping a client's facility running smoothly day to day, acting as a key point of contact for building occupants, visitors, and vendors alike. You'll support the Facility Management team across a wide range of operational, administrative, and customer-facing responsibilities, helping ensure the workplace experience remains seamless and professional at every turn. At JLL, we are collectively shaping a brighter way — for our clients, ourselves and our fellow employees — and this role is an opportunity to do exactly that, one interaction and one well-executed task at a time. You'll bring strong organizational instincts, a service-first mindset, and the ability to juggle multiple priorities while staying calm and composed, even when things get busy. This is a great fit for someone who thrives on variety, enjoys problem-solving, and wants to build a career within a collaborative, supportive team environment.

What your day-to-day will look like:

  • Assist the Facility Management team with tactical planning to support the team's broader goals and objectives
  • Provide facility-specific assistance as needed or requested, adapting quickly to the day's priorities
  • Help manage and maintain the facility, including overseeing pantry operations, supervising hospitality staff, and handling supply ordering
  • Support meeting and conference room reservations, ensuring spaces are ready and available as directed
  • Assist with coordinating and scheduling maintenance activities, including Preventative Maintenance (PM) work
  • Support general facility management services through continuous monitoring of the office or facility environment
  • Serve as a friendly, professional interface with clients, visitors, and guests
  • Ensure appropriate follow-up with customers to close the loop on requests and concerns
  • Provide direction and information to vendors, facilities staff, and service providers to ensure excellent coordination and execution of work with minimal disruption to the client environment

Required qualifications:

  • Superior customer service skills and a strong service orientation
  • Ability to maintain professionalism consistently, even in stressful situations
  • Ability to plan and manage work effectively under time constraints
  • Ability to multitask and work independently without direct supervision
  • Proficiency in MS Office, along with strong written, verbal, and interpersonal skills
  • Strong organizational skills paired with a collaborative working style
  • Proficiency in Excel, including the ability to customize administrative reports

Preferred qualifications:

  • Associate's degree in Facilities Management, Building Services, Business Administration, or a related field
  • Prior experience supporting facility operations, budgeting, or vendor coordination
  • Familiarity with security protocols and working alongside security teams on operational matters
  • Experience assisting with budget tracking, variance analysis, or basic financial reporting
