Job title: Facilities & Administrative Coordinator
About the Role The Facilities & Administrative Coordinator will support the day-to-day operations of facilities in the Lenexa, KS office/lab, ensuring processes and procedures are streamlined to maximize efficiency in cost and productivity within a collaborative team.
What You'll Do
- Represent ICON values and contribute to a culture of process improvement to add value and meet client needs.
- With support from the Manager, identify and resolve day-to-day issues to maintain smooth office operations.
- Support central services (security, maintenance, mail, fax, cleaning, catering, waste disposal and recycling) to keep facilities well maintained and fully operational.
- Assist with local Facilities & Administration budget management, annual budgeting, forecasting and invoice review/tracking.
- Monitor and respond to customer requests via Facilities Online, ensuring timely resolution in line with department metrics.
- Source and monitor suppliers, including ordering, stock control and distribution in compliance with procurement policies.
- Health & Safety: act as local H&S Officer or liaise with H&S Officer to ensure the building complies with requirements; manage emergency call-out system; implement fire safety procedures.
- Coordinate and deliver Facilities & Administration induction for new employees.
- Support other GBS functions locally, such as invoice scanning and log completion for Finance as required.
- Keep management informed of issues requiring attention; assist with additional facilities projects as assigned.
What We're Looking For
- Minimum of 1 year experience in a Facilities & Administration-related role or equivalent.
- Proficient with Microsoft Office Suite.
- Knowledge of plumbing and HVAC systems.
- Resourceful and proactive in addressing issues.
- Strong oral and written communication skills; fluent in English.
- Strong interpersonal skills with the ability to interact across levels and cultures.
- Awareness of workplace Health & Safety regulations.
- High School diploma or international equivalent; Associate or Bachelor's Degree preferred.
