Job Summary
Our client, a Law Firm is looking to hire a highly skilled and experienced Executive Secretary who will provide high-level executive, administrative and secretarial support to Partners and other fee-earners within the firm to enable them to operate at optimum efficiency.
Key Responsibilities

Manage and maintain Partners’ calendars, schedule meetings, appointments and court dates. Assist Partners in prioritizing their day, including meetings, appointments, correspondence, and other important tasks, ensuring they stay on schedule.

Provide cost-effective administrative and secretarial support to the partners and other fee-earners to enable them to operate at optimum efficiency.

Provide calendar management for Partners, including daily agendas and scheduling, ensuring accuracy and adherence to appropriate standards.

Prepare, proofread, and format correspondences, memos and legal documents. Oversee the production of legal documents, coordinating with internal teams and external parties as necessary.

Screen and prioritize emails, calls, and other communications on behalf of Partners Monitor deadlines and ensure the timely filing of legal documents, maintaining compliance with regulatory requirements and court procedures.

Track legal and billable activities and review invoices and payments to ensure timely processing. Coordinate logistics for legal meetings, conferences, and events, preparing materials, arranging catering, and coordinating travel as needed.

Qualifications, Skills & Experience

HND/Bachelor’s degree in English, Business Administration, Secretarial Studies or a related field.

Minimum five (5) years of experience supporting senior level Executives in a corporate or legal environment.

Proficiency in all Microsoft Suite (Word, Excel, PowerPoint, Outlook)

Effective organizational and multitasking skills, with the ability to prioritize tasks and meet deadlines.

Excellent communication, interpersonal, and problem-solving skills.

Strong attention to detail and a high degree of accuracy in all activities especially with legal documents and correspondences.

Exemplary professionalism and the ability to handle confidential information with the utmost discretion.

Calendar and Schedule Management for Partners/Counsel

Experience liaising with clients, counsel, Partners and external stakeholders professionally.

Familiarity with Case Management/document management systems (e.g. document filing , court deadline tracking)
