The Opportunity

  • We’re looking for a highly organised, proactive and resourceful Executive Operations Assistant to work closely with our Directors and help keep the business moving.
  • This is a hands-on role for someone who enjoys getting things done.
  • You’ll support the Directors with day-to-day business operations, coordinate projects and programs, engage suppliers and partners, manage follow-ups, conduct research, prepare expense reports and take ownership of tasks that create real value for the business.
  • We’re looking for someone who can take a task, understand what needs to happen, figure out the next steps and follow it through to completion.
  • If you’re the kind of person who naturally keeps things organised, spots what needs attention and doesn’t need to be chased to get things done, we’d like to hear from you.

Responsibilities

Executive & Business Support:

  • Provide day-to-day operational support to the Directors.
  • Manage schedules, meetings, appointments, correspondence and follow-ups.
  • Prepare documents, presentations, reports and other materials when required.
  • Conduct research and gather information to support business decisions.
  • Track important commitments, deadlines and outstanding actions.

Projects & Programs:

  • Coordinate projects, programs and business initiatives from planning through to completion.
  • Create and maintain timelines, task lists and progress trackers.
  • Coordinate people, resources and activities required to deliver projects.
  • Follow up with team members and stakeholders to keep work moving.
  • Identify delays or issues early and escalate them appropriately.

Suppliers & Partners:

  • Communicate and coordinate with suppliers, contractors, partners and other external stakeholders.
  • Request quotations, compare options and assist with supplier coordination.
  • Follow up on deliverables, timelines, invoices and outstanding issues.
  • Maintain professional relationships with key suppliers and partners.

Operations & Administration:

  • Support the smooth running of daily business activities.
  • Maintain organised records, documents and operational information.
  • Prepare and maintain regular outflow and inflowreports, ensuring expenses are accurately recorded and properly documented.
  • Organise receipts, invoices and supporting documentation.
  • Help improve simple processes and systems that make the business more efficient.
  • Handle confidential business information with discretion.

Creating Value:

  • A big part of this role is helping the Director(s)spend more time on the things that matter most.
  • That means taking ownership of tasks, following through on conversations, chasing outstanding actions, coordinating people, finding information, identifying opportunities and making sure important things don't simply sit on a to-do list.

Who We're Looking For

You are:

  • Highly organised and detail-oriented.
  • Proactive and able to work without constant supervision.
  • A strong communicator with excellent written and verbal skills.
  • Comfortable dealing with suppliers, partners, team members and senior stakeholders.
  • Good at managing multiple priorities and deadlines.
  • Resourceful and confident figuring things out.
  • Reliable and strong on follow-through.
  • Discreet and trustworthy with confidential information.
  • Comfortable using digital tools, spreadsheets and productivity software.
  • Curious, adaptable and willing to learn.
  • Someone who takes ownership rather than waiting to be told what to do.

Experience:

  • Previous experience in executive support, administration, business operations, project coordination, customer service or a similar role is an advantage.
  • A Degree or professional qualification is desirable but not the most important thing.
  • We care about how you think, how you communicate and, most importantly, what you can actually get done.
