About the Role Reporting to the Director of Administration/Office Manager, the Executive Legal Secretary provides secretarial and administrative support to assigned attorneys in our Cleveland office. This role requires high level technical and professional skills, superior judgment with minimal supervision, excellent client service, and the ability to manage competing priorities and communicate effectively. What You'll Do
- Compose and type drafts of general correspondence, reports, memoranda, pleadings, expense reports and other documents requiring intermediate to advanced word processing skills; edit for phrasing and grammar without altering meaning when appropriate.
- Open new files, initiate business intake/conflict of interest checks, and maintain client and general files; adapt to various practice group requirements.
- Enter and edit timekeeper daily time, mail invoices and/or assist with collections.
- Prepare special projects using Excel and PowerPoint.
- Conduct redlines and document conversion/cleanup in line with Firm style and guidelines.
- Manage electronic documents and ensure easy retrieval; handle telephone inquiries with professionalism and confidentiality; assign billing codes for long-distance charges when relevant.
- Sort, read and distribute daily mail; coordinate routing, signatures, and outgoing mail/deliveries.
- Schedule appointments and manage attorney calendars; greet clients, arrange travel or coordinate with the Firm's travel agency; prepare travel/entertainment expense reports.
- Coordinate conferences and meetings and prepare materials.
- Research and abstract information; make contacts as necessary to obtain and verify information.
- Support team and other secretaries with overflow work and coverage; take initiative during attorney absences and escalate or re-route matters as needed. What We're Looking For
- Secretarial/administrative support experience in a professional services environment; ability to learn and adapt to various practice group requirements.
- Strong client service orientation, excellent communication skills, and ability to manage competing priorities.
- Proficiency in drafting and editing documents, and word processing; familiarity with Excel and PowerPoint.
- Timekeeping, billing support, and familiarity with conflict checks; strong organizational and multitasking abilities; discretion and confidentiality.
- Ability to coordinate travel arrangements, meetings, and calendar management; good judgment and initiative; ability to work with minimal supervision.
- Knowledge of electronic document management and adherence to firm style guidelines. Nice to Have
- Experience with Excel and PowerPoint; timekeeping/billing and travel expense reporting experience; familiarity with conflict checks.
- Prior experience supporting attorneys in a law firm environment.
