Job title: Executive Assistant to the President
About the Role The Executive Assistant to the President provides high-level, confidential administrative and operational support to the President and the Office of the President. This role manages executive scheduling, communications, office operations, meeting preparation, and stakeholder interactions, exercising sound judgment and professionalism to ensure excellent service.
What You'll Do
- Provide executive administrative and operational support to the President, manage daily operations of the Office of the President, and exercise independent judgment.
- Initiate, compose, edit, and prepare correspondence, reports, presentations, and other executive-level materials.
- Review communications directed to the President, prioritize matters, and ensure timely response or follow-up.
- Coordinate and track presidential priorities, special projects, and cross-functional action items; monitor deadlines and follow up with senior leaders and stakeholders.
- Handle highly confidential information with discretion and maintain appropriate office procedures and workflows.
- Manage the President's calendar, meetings, travel, and related logistics; prepare materials and coordinate follow-up on action items.
- Serve as the primary administrative liaison between the Office of the President, senior university leaders, external stakeholders, and other constituents.
What We're Looking For
- Bachelor’s degree and at least five years of progressively responsible administrative or executive support experience, or an equivalent combination of education and experience.
- Experience providing direct administrative or operational support to a senior executive, cabinet-level leader, board-level leader, or equivalent high-level administrator.
- Experience managing complex calendars, executive communications, meeting preparation, confidential records, office workflows, and follow-up systems in a complex organization.
- Excellent written and verbal communication skills, including drafting, editing, and proofreading professional correspondence, reports, and presentations.
- Strong judgment, discretion, organization, problem-solving, and ability to manage multiple priorities with limited supervision.
- Proficiency with office management systems and standard business software used to coordinate schedules, documents, meetings, and communications.
Nice to Have
- Experience in higher education, public sector, government, or other complex stakeholder environments.
- Experience supporting a president, chief executive, cabinet-level officer, or senior administrator.
- Experience coordinating executive-level projects, budget-related processes, travel, events, or high-level stakeholder communications.
Compensation & Benefits
- Minimum annual salary: $65,000 USD. Salary band: UC S05.
