About the Role

The Executive Assistant to the Managing Partner provides high-level administrative, organisational, and executive support to enable the Managing Partner to function effectively in their leadership role. The EA manages confidential information with discretion, coordinates activities, and serves as the primary point of contact between the Managing Partner and internal/external stakeholders. The role requires strong business acumen, excellent communication, and exceptional organisational skills to anticipate needs and ensure the Managing Partner’s time and priorities are optimally managed. What You'll Do

  • Provide comprehensive support to the Managing Partner in managing schedules, meetings, communications, and travel arrangements.
  • Draft, review, and manage correspondence, reports, presentations, and other high-level documents on behalf of the Managing Partner.
  • Coordinate Board/partner meetings, prepare agendas, take minutes, and ensure timely follow-up on action items.
  • Maintain strict confidentiality of sensitive information and ensure professional handling of all matters.
  • Act as the first point of contact for the Managing Partner with internal and external stakeholders.
  • Manage client and partner interactions with tact, professionalism, and discretion.
  • Facilitate smooth communication between the Managing Partner, Board Members, Partners, Practice Administrators, and staff.
  • Assist in monitoring progress on strategic initiatives, projects, and firm-wide priorities.
  • Support the preparation and coordination of presentations, reports, and documents for Board, client, and industry engagements.
  • Conduct research and provide briefing notes to support decision-making.
  • Ensure efficient management of the Managing Partner’s office, including prioritising tasks and managing competing demands.
  • Implement effective filing, information management, and record-keeping systems.
  • Liaise with Practice Administrators, Operations, and other departments to ensure smooth workflow.
  • Additional duties as delegated or assigned. What We're Looking For
  • Minimum of 5 years of relevant experience in a similar role.
  • Basic understanding of litigation procedures, court rules, and legal documentation.
  • Bookkeeping and basic accounting knowledge.
  • Strong organizational and administrative skills to manage litigation files, schedules, and client communication.
  • Excellent written and verbal communication skills.
  • Familiarity with legal software, court docketing systems, and Microsoft Office suite.
  • Meticulous attention to detail in managing legal documents, court filings, and case deadlines.
  • Client-focused mindset with the ability to provide exceptional service and support.
  • Ability to work collaboratively with legal professionals and other administrative staff.
  • Ability to adapt to changing priorities, deadlines, and litigation requirements.
  • Educational qualifications: LLB, BL; Bachelor's degree in Legal Studies, Business Administration, or related field. Certification in Legal Administration or Paralegal Studies is advantageous. Nice to Have
