Executive Assistant to the CEO
Summary
- The Executive Assistant to the Chief Executive serves as a critical strategic lever, multiplying the effectiveness of the Chief Executive by ensuring strategic priorities seamlessly translate into organizational execution.
- Reporting directly to the Chief Executive, this role is responsible for establishing a world-class executive operating rhythm, embedding robust governance, tracking key business initiatives, and streamlining information flow.
Core Responsibilities
- Executive Operating System & Calendar Strategy: Design and manage a high-efficiency operating rhythm for the Chief Executive, balancing strategic, operational, and administrative time. Proactively protect the Chief Executive's schedule to align calendar allocation with top business priorities.
- Strategic Priority Tracking & Execution: Establish end-to-end tracking for all Chief Executive priorities and company-wide initiatives. Ensure every initiative has designated owners, clear timelines, documented risks, and proactive escalation paths.
- Executive Governance & Meeting Cadence: Drive consistent governance across executive leadership meetings. Manage prep materials, set structured agendas, maintain real-time decision logs, and drive rigid action-item follow-through across department leads.
- Information Flow & Executive Reporting: Synthesize complex operational updates, financial reports, and project statuses into concise, decision-ready dashboards and briefs for the Chief Executive. Highlight critical risks, surface options, and present clear recommendations proactively.
- Cross-Functional Follow-Up & Bottleneck Resolution: Act as a central communication node across the executive team. Monitor execution progress, follow up on outstanding deliverables on behalf of the Chief Executive, and resolve cross-functional friction before it impacts timelines.
- Executive Office Excellence & Confidentiality: Maintain absolute discretion and confidentiality regarding corporate strategy, personnel, and investor matters. Build an Executive Office standard recognized across Spacefinish for speed, reliability, and precision.
Requirements & Qualifications
- Education: Bachelor’s Degree in Business Administration, Project Management, Communications, Corporate Strategy, or a related field.
- Experience: 4+ years of experience as an Executive Assistant, Chief of Staff, PMO Analyst, or Strategic Coordinator supporting C-suite executives in a high-growth startup, management consultancy, or corporate environment.
- Project & Tool Proficiency: Advanced proficiency with modern productivity, project management, and dashboarding tools (e.g., Notion, Asana, Monday.com, ClickUp, Excel, Google Workspace)
