About the job
Location: Irvine, California
Employment Type: Full‑time
Reports to: CEO & Founder
About Us
We are a fast‑growing consumer tech and wellness lifestyle brand targeting the North American market. Our business covers smart hardware, health‑management products and user‑centric innovative services. We are scaling our U.S. operations, including local brand building, product strategy, cross‑border e‑commerce, partnership development and U.S. entity setup.
Our office is based in Irvine, California. We are seeking a highly trusted, well‑rounded executive assistant to work closely with our CEO & Founder. This is a dual‑function role covering business support and CEO personal‑lifestyle coordination. You will serve as a critical efficiency enabler for the CEO in both work‑related matters and daily personal logistics, allowing the CEO to focus on high‑priority strategic decisions. This role is ideal for candidates who aim to build a long‑term career in the United States as a comprehensive C‑suite executive assistant.
Key Responsibilities
-
Business & Administrative Support
-
•Manage the CEO’s global calendar, multi‑time‑zone meetings, cross‑border travel arrangements, and daily priority planning for U.S. and China‑based stakeholders.
-
•Own end‑to‑end meeting administration: prepare agendas, take meeting minutes, track action items, and follow up to ensure deliverables are completed on schedule.
-
•Compose, edit and format bilingual business documents (English & Mandarin): external emails, briefings, presentation decks, project summaries and partnership correspondence.
-
•Proactively anticipate executive needs, pre‑compile background information, and drive task progress rather than only executing ad‑hoc assignments.
-
Cross‑border Business & Project Coordination
-
•Support key business initiatives: North‑America market entry, local brand development, partner negotiation, cross‑border operations and U.S.‑China team alignment.
-
•Monitor project timelines, deliverables, stakeholders and key milestones to keep core business priorities on track.
-
•Conduct market research, competitor monitoring and partner background checks; organize structured reference materials for executive decision‑making.
-
•Act as the communication bridge between Chinese and U.S. multicultural teams to reduce cross‑border collaboration barriers.
-
•Provide lightweight project management for multiple parallel workflows.
-
External Stakeholder & On‑site Business Support
-
•Coordinate communications with overseas partners, vendors, industry institutions and external consultants.
-
•Independently handle formal English business correspondence, organize virtual and in‑person cross‑border meetings, and follow up on post‑meeting action items.
-
•Accompany the CEO to business meetings, industry events and business trips; provide full‑cycle support including pre‑event preparation, on‑site coordination and post‑event follow‑up.
-
•Maintain professional external relationships with mature communication and strict confidentiality.
-
Personal‑Lifestyle Logistics Coordination
-
•Coordinate the CEO’s personal logistics including personal travel arrangements, local‑errand coordination, personal‑schedule planning and family‑related administrative matters.
-
•Plan personal‑trip logistics including flight/hotel bookings, local transportation, dining and appointment scheduling, balancing comfort and practicality.
-
•Process confidential personal data and schedules with high discretion and sound judgment.
-
•Resolve scheduling conflicts between business duties and personal arrangements; proactively handle routine logistics to free up the CEO’s energy for core leadership work.
Requirements
-
Must‑Have
-
•Bachelor’s degree or above; Overseas study background is required, U.S. study background is strongly preferred.
-
•Native‑level or near‑native fluency in both Mandarin and English, capable of independently conducting English‑language business communication.
-
•3+ years working experience as executive assistant, founder / CEO assistant, chief‑of‑staff support, project coordinator or similar high‑level support role.
-
•Must work on‑site in Irvine, CA, Monday‑Friday (full‑time, remote work is not available).
-
•Strong service orientation, meticulous mindset, excellent multi‑tasking ability and capability to work under fast‑changing startup priorities.
-
•High integrity, strong sense of confidentiality, mature interpersonal judgment.
-
•Clear career aspiration: aim to grow into a comprehensive C‑suite executive assistant and build long‑term career development in the United States.
-
•Ready for occasional domestic and international business travel as required.
-
Preferred
-
•Prior experience supporting founders or C‑suite executives with mixed business‑and‑personal‑logistics responsibilities.
-
•Industry exposure in consumer brands, smart hardware, wellness lifestyle, cross‑border e‑commerce or international market expansion.
-
•Solid capability for business writing and presentation‑deck production, basic business awareness.
-
•Possess valid U.S. driver’s license for local transportation support.
What We Offer
•Direct collaboration with the company founder; deep participation in the brand’s zero‑to‑one North‑American market expansion. •Broad exposure to market entry, brand building, partnership development and cross‑border project execution. •Steep learning curve, diversified responsibilities and clear long‑term career‑growth paths in the U.S. market. •Competitive compensation package based on candidate experience and role fit.
