The Executive Assistant provides executive-level administrative support to the SVP for Business Development and the Executive Director, Operations, serving as a key liaison between these leaders and external partners, university leadership, and the broader university community. This includes managing high-level scheduling, travel coordination, and executive priorities, coordinating external partnership and business development activities, and engaging external constituents such as corporate partners, community leaders, prospective institutional partners, and other internal and external stakeholders. The Executive Assistant works independently, exercises sound judgment representing both leaders in external-facing interactions, anticipates issues, solves problems effectively, and manages unit-wide strategic projects while maintaining confidentiality. The Executive Assistant works closely with the Office Coordinator to ensure administrative continuity across the unit, focusing primarily on higher-level, external-facing priorities for the SVP, Executive Director, and SU Global business development activities. The Executive Assistant works in a high-pressure, fast-paced, time-sensitive environment while projecting a professional, relationship-focused demeanor representing SU Global leadership externally.

Education and Experience

Bachelor ’s degree and a minimum of 7 years of practical administrative and project management work experience in a business or higher education environment.

Skills and Knowledge

Ability to exercise independent judgement and discretion. Exceptional demonstrated organizational and interpersonal skills, including diplomacy, tact, discretion, and confidentiality. Demonstrated ability to independently organize workload and manage time with minimal supervision. Demonstrated ability to solve problems and pivot quickly in a fast-paced environment. Knowledgeable and proficient with MS Office, Teams, Excel, PowerPoint, and Word. Team player mindset, ability to create and maintain strong working relationships with all university departments. Excellent oral and written communication skills demonstrated success in managing multiple priorities and projects. Accuracy and attention to detail are essential.

Responsibilities

  • Serve as a primary liaison for the Senior Vice President and the Executive Director, Operations with external partners, business development contacts, community leaders, and institutional stakeholders. Support cultivation and coordination of external partnerships and business relationships and prepare related correspondence and briefing materials.

  • Manage executive calendars and scheduling priorities for primarily the Senior Vice President as well as the Executive Director, Operations, coordinating regularly with internal university leadership, faculty, staff, and other departments to align schedules, secure meeting space, and resolve conflicts. Coordinate complex travel arrangements for business development engagements.

  • Serve as a key point of contact for day-to-day coordination between SU Global leadership offices and internal SU stakeholders, including university leadership, faculty, students, and staff, ensuring timely follow-through on requests and inquiries.

  • Assist with management of unit-wide strategic projects on behalf of both leaders, coordinating with internal departments as needed. Coordinate budget and expenses related to business development and operational activity with advisement from the Director of Administration & Budget.

  • Execute special projects assigned by the Senior Vice President or Executive Director, Operations. Maintain availability for calls and actions outside of standard business hours as needed.
