The Opportunity

We are looking for an Executive Assistant to the CEO & COO to provide high-level executive support to two members of our senior leadership team.

This is a high-trust role requiring exceptional organisation, discretion, judgement and attention to detail. You will manage complex and competing priorities, coordinate executive engagements, support key governance activities and ensure that important actions and commitments are followed through.

You will work closely with senior stakeholders across the business and will need to be comfortable operating in a fast-paced environment where priorities can shift quickly.

Key Responsibilities

  • Executive Support

  • Provide comprehensive executive support to the CEO and COO, including diary management, correspondence, travel coordination and meeting preparation.

  • Proactively manage priorities, deadlines, follow-ups and outstanding actions on behalf of both executives.

  • Anticipate scheduling conflicts and upcoming requirements and address these proactively.

  • Prepare agendas, briefing notes, presentations, reports and other materials for executive engagements.

  • Ensure the CEO and COO are appropriately prepared for key meetings and engagements.

  • Stakeholder & Meeting Coordination

  • Act as a key point of contact between the CEO, COO, Executive Committee, senior leadership and external stakeholders.

  • Coordinate executive meetings, leadership sessions, strategic planning sessions and other key engagements.

  • Coordinate Board and committee meetings, including documentation, logistics, minutes and action tracking.

  • Follow up with stakeholders to ensure agreed actions and deliverables are completed within required timeframes.

  • Governance & Confidentiality

  • Handle confidential and sensitive commercial, financial, employee and executive information with discretion.

  • Support governance processes by maintaining accurate records and coordinating required documentation.

  • Manage sensitive correspondence and information with sound judgement and professionalism.

  • Travel & Administration

  • Coordinate complex domestic and international travel arrangements, including itineraries, accommodation and changes to travel plans.

  • Manage expense submissions and reconciliations in line with company policies.

  • Support executive events, offsites, leadership sessions and other corporate engagements.

  • Projects & Special Assignments

  • Support the CEO and COO with special projects and strategic initiatives, including research, information gathering and preparation of executive summaries.

  • Coordinate cross-functional activities and follow up on key deliverables as directed by the executives.

  • Assist with presentations and materials for strategic and operational discussions.

  • Minimum Requirements

  • A relevant qualification in Business Administration, Office Management, Business Management or a related field.

  • 8–10 years' experience in an Executive Assistant or similar senior executive support role.

  • Proven experience supporting C-suite executives, preferably within a large, complex or fast-paced corporate environment.

  • Experience supporting multiple senior executives will be advantageous.

  • Experience coordinating Board, Executive Committee or senior leadership meetings.

  • Experience handling confidential and sensitive information at executive level.

  • Strong experience in diary management, complex travel coordination, meeting preparation and executive correspondence.

  • Advanced proficiency in Microsoft Office, particularly Outlook, Word and PowerPoint, with strong working knowledge of Excel.

  • Excellent written and verbal communication skills.

  • Strong business acumen, judgement and ability to prioritise effectively.

  • Proven ability to manage multiple competing priorities under pressure while maintaining a high level of accuracy and follow-through.
