Job Description

  • We are looking for an intelligent, highly organised, commercially aware, and proactive professional who can function as the CEO's right hand and help translate ideas, decisions, and priorities into action.
  • The successful candidate will work closely with the CEO across business operations, administration, communication, stakeholder management, meetings, projects, business development, and digital visibility.
  • In practical terms, this person will serve as the CEO's extension within the organisation anticipating needs, managing priorities, coordinating people, following up on decisions, keeping projects moving, and ensuring that nothing important falls through the cracks.
  • The ideal candidate must be smart, polished, proactive, highly resourceful, an excellent communicator, digitally savvy, socially intelligent, and exceptionally strong in administration and execution.

  • Is commercially minded and understands that an Executive Assistant at this level is not simply managing a diary they are helping the CEO get things done.

Key Responsibilities

  • Serve as the CEO's primary administrative and executive support partner.

  • Act as a central point of coordination between the CEO and key internal and external stakeholders.

  • Follow up with department heads, project teams, consultants, contractors, clients, and partners on matters delegated by the CEO.

  • Track important assignments and provide the CEO with concise updates on progress, challenges, and outstanding actions.

  • Ensure that instructions from the CEO are properly communicated and followed through.

  • Identify bottlenecks and escalate issues requiring the CEO's attention.

  • Maintain an organised system for tracking projects, decisions, deadlines, meetings, and deliverables.

  • Support the CEO in coordinating strategic business initiatives and special projects.

  • Conduct research and gather information required for business decisions.

  • Prepare reports, presentations, briefing documents, proposals, correspondence, and other executive materials.

  • Assist with business development initiatives, client engagements, partnerships, and strategic opportunities.

  • Coordinate with relevant teams to ensure that projects and initiatives assigned by the CEO remain on schedule.

  • Monitor deadlines and proactively remind responsible parties of pending deliverables.

  • Assist the CEO in evaluating opportunities, information, and business proposals by conducting preliminary research and organising relevant data.

  • Draft, review, and manage professional emails, letters, memos, reports, presentations, and other executive correspondence.

  • Protect confidential and sensitive information at all times.

  • The successful candidate must be social-media savvy and understand how digital platforms can support executive visibility and business growth.

  • You do not necessarily need to be a social media manager, but you must understand social media, content, personal branding, digital communication, and online business visibility.

  • Build and maintain professional relationships with key stakeholders on behalf of the CEO.

  • Interact professionally with clients, business partners, government representatives, consultants, contractors, vendors, and other stakeholders.

  • Manage confidential documents and executive records.

  • Assist with expense tracking, invoices, documentation, and administrative records relating to the CEO's office.

  • Support the smooth day-to-day functioning of the executive office.

  • Required Qualifications & Experience

  • Bachelor's degree in Business Administration, Management, Communications, Social Sciences, Marketing, or a related field.

  • Minimum of 3–5 years' experience as an Executive Assistant, Personal Assistant, Executive Office Coordinator, Chief of Staff Assistant, Business Administrator, or similar role.

  • Experience supporting a CEO, Managing Director, Founder, Executive Director, or senior executive is strongly preferred.

  • Experience within real estate, construction, consulting, hospitality, investment, professional services, or another fast-paced business environment will be an advantage.

  • Excellent command of written and spoken English.

  • Strong proficiency in Microsoft Office

  • Strong digital literacy and familiarity with productivity and collaboration tools.

  • Good understanding of social media platforms, particularly LinkedIn and Instagram.

  • Excellent organisational and time-management skills.

  • Strong research, writing, presentation, and documentation skills.

  • Execution-focused, you don't just take notes; you follow up until things get done.
