EXECUTIVE/PERSONAL ASSISTANT
You will primarily support our two managing directors in a complex and continously changing environment. You will be also a member of our excellent team with covering the following duties:
-
Filing and forwarding incoming post mails (only a few) to recipients; handling outgoing post mails;
-
Managing the signature books of our two executives;
-
E-mail tracking / monitoring, setting reminders, preparing responses in pre-agreed cases;
-
Managing the calendars of executives, organizing discussions and meetings;
-
Coordination, control and registration of deadlines related to the activities of managers;
-
Maintaining contact with the manager's external partners, as well as with the organization's internal employees and managers of other units;
-
Preparation of management presentations (mainly in English, sometimes in Hungarian);
-
Organizing business trips for the two managers, mainly abroad, sometimes in-country;
-
Creating/handling expense reimbursements for the managers (via company tool);
-
Welcoming guests; preparing the meeting rooms for discussions;
-
Minor procurement tasks (e.g. office supplies, company kitchen orders, weekly fruit days);
-
dealing with matters related to company cars with the fleet service provider;
-
asset management: preparation of asset acceptance, handover, transfer documents (keeping inventory up to date);
-
in some cases supporting the managers in minor private matters;
-
other tasks arising in the life of the company can add color to the scope of duties.

Work Experience
-
Experience in similar positions (if you have some years at multinational companies, it is a plus)
-
Fluent English and Hungarian proficiency
-
Strong MS 365 experience (Word, Excel, Outlook, PowerPoint, Teams etc.)
-
BSc or MSc degree preferable, depending on your experience
-
Dynamic, determined and cooperative personality
-
Flexibility
-
Good verbal and written communication skills
