Executive Assistant

We are looking for a detail-oriented Executive Assistant to provide high-level support to leadership in Hawaii. This Contract position is ideal for someone who excels in a fast-paced retail environment, keeps priorities organized, and helps executives stay focused on key business objectives. The role requires strong judgment, effective communication, and the ability to manage sensitive information with professionalism. This position requires onsite work, so Hawaii residents are preferred.

Responsibilities

  • Coordinate executive schedules by arranging meetings, managing appointments, and adjusting priorities as business needs change.
  • Join leadership meetings, capture accurate discussion notes, and prepare clear follow-up summaries for stakeholders.
  • Monitor action items from meetings and help drive timely completion of assigned deliverables.
  • Serve as a communication link between executives, employees, clients, and external partners to keep information flowing smoothly.
  • Maintain organized records, business documents, and digital files for easy access and accuracy.
  • Support travel planning and related logistics for executive meetings and business activities.
  • Contribute to administrative projects that improve workflow, organization, and day-to-day operational efficiency.
  • Handle confidential matters with discretion while providing dependable support to senior leadership.

Qualifications

  • At least 2 years of experience in an Executive Assistant, Administrative Assistant, or similar support role.

  • Strong ability to manage calendars, coordinate multiple tasks, and stay organized under shifting deadlines.

  • Excellent written and verbal communication skills with a detail-oriented approach to correspondence.

  • Proficiency with Microsoft Outlook, Word, Excel, Teams, and other standard office tools.

  • Experience preparing meeting notes, transcriptions, and follow-up documentation with accuracy.

  • Ability to work independently, show initiative, and consistently follow through on responsibilities.

  • Demonstrated sound judgment and the ability to maintain strict confidentiality.

  • Salary: 23.75 - 27.5 USD / Hourly
