Job title: Executive Assistant (NY Office)
About the Role The firm is seeking a full-time Executive Assistant to provide senior-level support to three corporate partners in the New York office. The role requires a proactive, highly organized professional with experience supporting senior law firm partners or C-suite executives, and the ability to contribute to business development and firm initiatives in a fast-paced environment.
What You'll Do
- Proactively manage calendars, schedule meetings, provide reminders, and resolve conflicts across multiple lawyers.
- Coordinate travel, maintain detailed itineraries, and produce timely expense reports.
- Support document production and electronic filing; notarize documents.
- Liaise with billing team to review and edit pro formas and produce client bills; track daily time entries.
- Develop relationships with clients and client assistants; maintain CRM data; research and update contacts; run reports.
- Assist with client events, selecting client gifts, and preparing materials for meetings, pitches, and proposals; act as liaison with marketing.
- Provide back-up support when team assistants are out and help develop processes to improve team efficiency.
What We're Looking For
- Five+ years working for a senior law firm partner, practice head, or C-suite executive.
- Flawless communication and interpersonal skills; ability to work collaboratively in a team.
- Highly proficient in Word, PowerPoint, and Excel.
- Excellent judgment, discretion, and ability to handle confidential material.
- Ability to anticipate needs, think steps ahead, identify conflicts, and provide solutions.
- Capable of handling multiple tasks in a fast-paced, high-pressure environment with critical deadlines.
- Ability to set priorities and adjust to demanding schedules.
Nice to Have
- Experience supporting senior law firm partners or C-suite executives (preferred).
