Job title: Executive Assistant - Legal
About the Role The Executive Assistant - Legal provides day-to-day administrative support to the Senior Vice President of the Corporate / Securities, Global Commercial & Operations, and Government Affairs section of the Mattel Law Department. Based at Mattel’s headquarters in El Segundo, CA, this role operates in a hybrid model with an expectation of on-site presence four days a week and may evolve with business needs.
What You'll Do
- Manage SVP's schedule, calendar, and correspondence across multiple time zones; act as gatekeeper for priorities
- Oversee budgeting and spend matters for the section, including forecasts, accruals, e-billing with law firms, purchase orders, and invoice processing
- Prepare complex documents, reports, PowerPoint presentations, Excel spreadsheets, redlines, and other materials
- Coordinate information for meetings with staff and external parties; manage travel arrangements and expense reports
- Assist with Board of Directors and Board Committee materials, along with meeting materials, agendas, and related drafting
- Support the SVP in role as Chair of the Law Department Pro Bono Committee and as a Board member of the Mattel Foundation
- Coordinate and track multiple projects, deliverables, and timelines across attorneys and stakeholders
- Manage inquiries, day-to-day engagement, and office services (meeting rooms, calls/Zoom, supplies, events)
- Oversee document/records management and collaborate with other assistants including C-suite assistants
- Assist with onboarding, training, and continuing education registrations for attorneys; ensure Bar requirements and fees are met timely
- Distribute mail and assist in improving administrative processes
What We're Looking For
- 7+ years of experience supporting c-suite/senior executives; experience supporting a legal team is a plus
- Bachelor’s degree preferred
- Ability to thrive in a fast-paced environment; professional, discreet, and trustworthy with confidential information
- Outstanding organizational skills with attention to detail and the ability to manage changing priorities
- Strong verbal and written communication; experience coordinating with international and domestic teams across time zones
- Positive, proactive, can-do attitude with strong interpersonal skills; able to work independently and collaboratively
- Strong problem-solving abilities, sound judgment on confidential matters, and urgency when needed

Compensation & Benefits
- Salary: USD $39.50 - $49.00 per hour
