Executive Assistant - Executive Assistant I

Location: Bellevue, Washington (Onsite)

Role Overview

We are seeking a skilled and adaptable Executive Assistant to provide immediate, high-impact administrative support to senior leadership. This role is ideal for an experienced EA who can learn the leader's preferences quickly, navigate a fast-paced environment, and deliver reliable support from day one. The candidate will step into an established rhythm and maintain continuity of operations during a defined engagement period.

Key Responsibilities

  • Manage complex, high-volume calendars across multiple time zones.

  • Schedule, reschedule, and prioritize meetings based on business needs and proactively resolve scheduling conflicts.

  • Serve as a point of contact for internal and external stakeholders on behalf of the leader.

  • Draft, proofread, and manage email correspondence, screening and prioritizing incoming messages.

  • Coordinate meeting logistics including room bookings, A/V setup, and attendee management.

  • Prepare agendas, pre-read materials, briefing documents, and capture meeting notes and track action items.

  • Arrange domestic and international travel including flights, hotels, and ground transportation, and build detailed itineraries.

  • Assist with team events, offsites, and Town Hall meetings as needed.

  • Maintain distribution lists, team resources, and filing systems.

  • Order office supplies, process procurement requests, and support onboarding for new team members.

  • Required Qualifications

  • Experience: 3+ years of experience as an Executive Assistant supporting senior or executive level leadership.

  • Technical

Skills

  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) or equivalent tools.

  • Additional

  • Experience managing complex calendars across multiple time zones, coordinating travel arrangements, and strong written and verbal communication skills.

  • Preferred Qualifications

  • Experience supporting senior level or above in a large organization.

  • Familiarity with event planning and team offsite coordination.

  • Experience with expense management tools and procurement processes.

  • Strong organizational skills with the ability to juggle multiple priorities under tight timelines.

  • Comfortable working in ambiguous or transitional environments.
