About this role

About the Role The Executive Assistant will provide secretarial and administrative support to attorneys, including managing calendars, drafting and proofreading documents, coordinating travel and meetings, and handling communications. The role requires a proactive, collaborative team member who can operate with minimal direction and balance multiple priorities in a fast-paced legal environment. What You'll Do

  • Prepare attorneys' correspondence and other legal documents as requested.
  • Draft information on behalf of the timekeeper with little or no direction.
  • Manage attorneys' calendars.
  • Schedule and organize complex activities such as meetings, travel, and seminars.
  • Update and proof visual presentations.
  • Organize and prioritize large volumes of email and phone calls.
  • Respond to regularly occurring information requests.
  • Type general correspondences, memos, charts, tables, graphs, business plans, etc.; proofread copy for spelling and grammar.
  • Volunteer to assist others in practice groups and office; work harmoniously in a team environment and foster team spirit.
  • Share information and expertise readily with staff members at all levels. What We're Looking For
  • High School Diploma or equivalent; secretarial degree preferred.
  • A large amount of legal secretarial experience; experience in a legal or professional services environment.
  • Intermediate knowledge of Word, Excel, and PowerPoint; intermediate knowledge of office systems (e.g., Intapp Time, Intapp Open).
  • Very able to perform heavy typing and related manual tasks; ability to sit/stand/walk/stoop and lift up to 25 lbs.
  • Ability to work independently, prioritize work, and meet deadlines.
  • Knowledge of marketing resources and relevant materials.
  • Excellent English verbal and written communication skills.
  • Actively pursues opportunities for self-development and collaboration.
  • Understands firm structure and available resources; looks for ways to improve processes and procedures.
  • Some analytical ability to solve administrative problems and prioritize workloads. Nice to Have
  • Secretarial Degree preferred.
  • Knowledge of marketing resources and relevant materials.
