Job Summary
The Estate Officer is responsible for the effective day-to-day management, supervision, maintenance, and administration of company estates and allocated properties. The role ensures that estate infrastructure, facilities, and common areas are properly maintained, residents and occupants comply with established estate regulations, and contractors and service providers deliver services in accordance with approved standards. The Estate Officer also manages residents’ concerns, monitors estate activities, maintains accurate operational records, and supports the enforcement of company policies to preserve the safety, functionality, order, and value of the estate.
Key Responsibilities
- Supervise the maintenance, cleanliness, functionality, and general upkeep of estate infrastructure, buildings, facilities, roads, drainage systems, and common areas.
- Conduct regular inspections of estate properties and facilities to identify maintenance needs, safety concerns, defects, and areas requiring corrective action.
- Enforce estate rules, regulations, policies, and approved operational guidelines among residents, occupants, visitors, and other estate users.
- Monitor construction, renovation, and modification activities within the estate to ensure compliance with approved building plans, estate standards, and applicable requirements.
- Coordinate and supervise security personnel and security activities within the estate to maintain safety, order, and protection of company and residents’ properties.
- Receive, document, investigate, and coordinate the resolution of residents’ complaints and service requests, escalating unresolved or sensitive matters to the appropriate authority.
- Supervise contractors, artisans, facility operators, and other service providers working within the estate to ensure timely and satisfactory delivery of services.
- Monitor the performance of estate service providers and report service deficiencies, delays, or non-compliance for appropriate corrective action.
- Ensure proper environmental management, including cleanliness of common areas, waste disposal, drainage maintenance, and general sanitation within the estate.
- Monitor service charge payments, maintain relevant records, and follow up on outstanding balances in accordance with company procedures.
