About this role

The Engineering Administrator provides business administration support to the Chief Engineer, other Engineering Officers and the whole Engineering Department. A very dynamic role with a wide range of responsibilities, and the chance to help our maritime trainees grow and develop as they study for qualifications and promotions.

What you will contribute

Quality, Health, Safety & Environment (QHSE)

  • Follow all safety measures as defined in the company Safety management Systems
  • Participate in regular drills and join emergency teams as required by the Safety Officer
  • Report non-conformities, accidents involving personnel or vessel, and hazardous occurrences to the Company

Administrative

  • Complete administrative tasks as requested and designated by the Chief Engineer (CE), including staffing administration, email organizing, document scanning, testimonial letter preparation, library searching and upkeep of various lists and reports
  • Support the Second and Third Engineers in staffing activities related to Day Crew, including assistance with day crew orientation, payroll processing, monthly schedule preparation, medical appointment coordination and attendance tracking
  • Provide general administrative support to the Engineering Department, including crew arrival/departure activities and transport, petty cash handling, muster list changes, assigned key inventory, safety training tracking, electronic file housekeeping, crew news and notices distribution, monthly work hour report coordination, office supply provision, training support and label making
  • Prepare and post items to the Engineering Department pages on Compass, including short stories and photographs featuring crew accomplishments and activities, policy announcements, and monthly work schedules
  • Provide support for crew events, including speaker recruitment for the Engineering weekly devotion, Engineering prayer walk coordination, Engineering team-building event support and crew celebration organizing

For This Role, You Will Need

STCW Certifications

  • Certificate of Proficiency in accordance with STCW VI/1 Basic Training
  • Certificate of Proficiency in accordance with STCW VI/2-1 Crowd Management
  • Certificate of Proficiency in accordance with STCW VI/6-1 Security Awareness
  • Certificate of Examination in accordance with STCW I/9 Medical Fitness

  • Ability to communicate proficiently in English in both written and verbal forms
  • Ability to take notes and edit documents proficiently

Problem Solving

  • Ability to solve problems and resolve conflict

Education and Experience

  • Successful completion of Mercy Ships On Boarding Program will be required
  • Strong communication skills required
  • Experience in business administration and executive support functions, preferably in a technical setting
