Job title: Document Specialist
About the Role The Document Specialist will execute document processing and billing operations for air/ocean freight in both import and export traffics. The role focuses on high-accuracy processing, invoicing, and collaboration with Customer Service to ensure operational excellence across shipments.
What You'll Do
- Process shipments with high accuracy using proprietary forwarding applications and billing systems to maintain operational excellence and productivity.
- Prepare and issue invoices to customers and/or overseas business units, and attach all required backup documentation.
- Retrieve rates from C1 and other systems needed to invoice; cost files accurately.
- Send invoices and all backup documentation per customer requirements.
- Communicate with the Customer Service group for requirements and/or exceptions in freight instructions/documents.
- Resolve rate discrepancies by working with business units to update rates in the system.
- Support other billing departments as needed.
- Understand and utilize internal billing reporting systems to identify priority bill-to shipments.
- Distribute documents and make copies per shipper's, JAS's and/or destination country requirements.
- Get approval for all credit notes and/or invoice reversals before issuance.
- Ensure the highest level of data quality by processing shipments accurately.
- Undertake special projects as assigned and perform other duties as directed by Supervisor or Manager.

- Education and Experience: Student or Bachelor degree in Administration or Transport specialist; intermediate level of knowledge in Microsoft Excel; working knowledge of standard administrative and operations practices; 1 year of experience in the same position.
Nice to Have
- Bachelor's degree in Administration or Transport field.
- Intermediate knowledge of Microsoft Excel.
- 1 year of experience in a similar Document Specialist/Billing role.
- Experience in logistics or supply chain environments.
