About the Role The District Office Manager provides administrative, secretarial, and bookkeeping support to the Superintendent and district operations. This role manages the district office and supports district staff in operations, HR, and the business office, while maintaining confidentiality and professionalism. What You'll Do
- Provide administrative assistance to the Superintendent, including calendar management, responses to communications, and day-to-day operational support on their behalf.
- Manage the district office: phone, email, conference room calendar, office supply inventory, and district mail.
- Support district office staff with administrative and confidential work in District Operations, Human Resources, and the Business Office.
- Compose, edit, and prepare technical and confidential documents, reports, and materials.
- Support HR document management, meal count documentation, and site monitoring tracking.
- Oversee maintenance and compliance of the District Emergency Handbook and procedures.
- Serve as point of contact for inter-district transfer student applications and tracking.
- Reconcile the Superintendent's credit card and manage related documentation.
- Input packing slips and manage the district credit card checkout sheet.
- Manage district staff travel arrangements and process volunteer/coach background checks, keeping the approved volunteer list up to date.
- Respond to building-level First Aid emergencies and coordinate with staff to ensure health and safety, including administering first aid and contacting emergency services as needed.
- Act as primary liaison between district staff, students, parents, and the community; answer phones and greet visitors.
- Process facility use requests and manage the district facility calendar.
- Store injury and DHS reporting documentation.
- Plan and coordinate school-wide staff appreciation events, procuring supplies and catering as needed for professional development.
- Utilize software to monitor and maintain essential records (students, personnel, accounting, work orders, and other areas). What We're Looking For
- A minimum of a high school diploma or equivalent.
- Secretarial experience, including office management, administration and record keeping.
- Knowledge of general operation of a school district and administrative assistant duties.
- Ability to interact positively with students, staff, parents, community members, contractors, consultants and trades people, while showing sensitivity to cultural, ethnic, gender and religious diversity.
- Ability to exercise confidentiality, diplomacy, and independent judgement.
- Keyboard and Word processing with speed and accuracy.
- General accounting skills.
- Knowledge or ability to learn about first-aid procedures and proper methods of dispensing medications.
- Excellent organizational and time management skills, with the ability to accomplish multiple complex assignments under short timelines and with interruptions.
- Ability to remain calm and supportive when dealing with difficult people or emergencies.
- Ability to take initiative and work independently, prioritizing tasks to meet deadlines while maintaining accuracy.
- Ability to quickly learn frequently used software and online programs used in the performance of job responsibilities, such as student records, personnel records, accounting, and purchasing. Compensation & Benefits
- Salary and work year are according to the current negotiated contract: 1.0 FTE, 220 contract days.
