Job Overview: Our client is looking for a natural problem-solver who loves supporting families and building community to serve as their Customer Support & Scheduling Coordinator. In this dynamic role, you will be the comforting, calm voice for parents navigating urgent, same-day childcare needs. You will seamlessly manage the booking portal, coordinate nanny schedules, and handle essential administrative tasks like interviews and reference checks. Beyond operations, you will spark excitement for the brand by engaging daily with online mom groups, cultivating warm leads, and building trusted partnerships with local pediatricians, realtors, and event venues.

Schedule: Monday, Wednesday, Thursday, Saturday, 12:00 PM - 10:00 PM EST, with a 1-hour unpaid break; Full-time, 36 work hours per week

Responsibilities

  • Customer Support: Respond promptly to all calls, texts, emails, and portal messages; communicate clearly, professionally, and calmly with families; escalate emergencies or sensitive situations to leadership immediately; document all after-hours activity for next-day follow-up.
  • Scheduling & Administrative Support: Assist families with booking care in the portal; handle schedule changes, cancellations, and nanny availability confirmations; flag coverage gaps and recurring scheduling issues for leadership review; perform administrative duties including interview scheduling, appointment management, and reference checks.
  • Marketing & Growth: Engage daily in local parenting, mom, and community groups; follow up with warm leads who expressed interest but did not book; track lead sources by city and report partnership opportunities weekly; introduce the client as a trusted local childcare resource to realtors, pediatric offices, OBs, birth centers, and event venues.

Requirements

  • Ability to work flexible, non-traditional hours to cover after-hours support shifts.
  • Exceptional verbal and written communication skills; ability to remain composed under pressure or when dealing with anxious parents.
  • Comfort using online portal systems, email, messaging apps, and tracking tools to manage leads and schedules.
  • Strong critical thinking skills to handle urgent care requests and accurately judge when a situation needs to be escalated to leadership.
  • Close attention to detail for tracking lead sources, documenting support calls, and identifying recurring scheduling issues.

Independent Contractor Perks:

  • Permanent work from home
  • Immediate hiring

Note:

  • You will complete your application with assessment questions, a technical check, and a voice recording. Your hourly pay rate will be established based on your performance in the application process; submissions with all requirements fulfilled will receive priority review.
