Job Description

Role Purpose

The Customer Delivery Confirmation Specialist is responsible for obtaining, validating, and maintaining customer delivery confirmations and supporting documentation to ensure compliance with internal requirements and audit standards. The role serves as the central point of coordination between customers and internal stakeholders, ensuring accurate validation, timely follow-up, and proper documentation of delivery confirmations.

Key Responsibilities

• Receive, review, and validate customer delivery confirmation documents, ensuring completeness, accuracy, signatures, dates, and supporting information.
• Perform SAP validation by matching delivery confirmations against deliveries, line items, and related documentation.
• Upload, attach, and close delivery confirmation cases in SAP in accordance with defined procedures.
• Review carrier confirmations and validate delivery details against SAP records.
• Monitor outstanding confirmations and perform timely follow-up activities with customers and internal stakeholders.
• Identify and obtain missing customer contact information required for confirmation requests.
• Investigate and resolve exceptions, including mismatches, incorrect documentation, missing information, partial confirmations, and correction requests.
• Maintain accurate records and ensure audit-ready documentation at all times.
• Support process improvements and standardization initiatives to increase efficiency and compliance.

Qualifications

• Bachelor's degree in Business Administration, Supply Chain Management, Logistics, Finance, Economics, or a related field.

• Strong attention to detail and accuracy when handling documentation.

• Good analytical and problem-solving skills.

• Ability to manage multiple tasks and follow up effectively with internal and external stakeholders.

• Strong communication and customer-oriented mindset.

• Proficiency in Microsoft Office applications, particularly Excel.

• Knowledge of SAP or other ERP systems is an advantage.

• Fluent English, both written and spoken.

• German language skills are considered an advantage.

• Ability to work independently while collaborating effectively across functions and countries.
