Job title: Corporate Legal Secretary
About the Role This executive assistant role supports Reed Smith's Global Corporate Group as a Corporate Legal Secretary, providing high-level, confidential administrative support to partners, associates, and the practice team. It serves as a central resource and connector between leadership, clients, and the firm, helping to streamline workflows across time zones.
What You'll Do
- Assist corporate partners and associates in the Global Corporate Group with calendar management and scheduling, manage deadlines, and organize invitations for internal and external events with thorough detail.
- Liaise with internal and external clients and support services on scheduling meetings, events, and travel, including coordination across multiple calendars and time zones.
- Oversee travel planning and logistics via the Travel Department to align with attorney preferences and maximize time efficiency.
- Track follow-up requests, prepare schedules, agendas, minutes, and meeting materials, and coordinate background materials and due diligence for meetings.
- Draft or disseminate legal documents as required, including exhibits, trial/closing materials, notices, pleadings, and memoranda.
- Build and maintain professional relationships at all levels; manage communications with high-level constituents.
- Process matter opening forms promptly, maintain MOFs and new matters, and communicate matter numbers.
- Support the attorney's financial and client growth goals through proactive coordination and problem-solving.
- Independently prioritize and follow up on multiple issues, including sensitive or confidential matters, and recommend appropriate actions.
- Maintain Outlook contact lists and other essential administrative resources.
What We're Looking For
- Experience supporting corporate partners and associates in a law firm or corporate legal environment.
- Strong calendar management across multiple time zones, adept at scheduling, deadlines, and event coordination.
- Excellent professional discretion, diplomacy, and client-facing communication.
- Ability to draft and prepare materials and background documents, including due diligence and trial/closing materials.
- Strong organizational skills, multitasking, and ability to manage confidential information.
- Proficiency with Outlook and Microsoft Office suite.
Nice to Have
- Prior experience in a corporate law firm or legal department.
- Familiarity with matter openings, MOFs, and legal document formatting and exhibits.
