About this role

Job title: Coordinator Quality & Claim Management (m/w/d)

About the Role Coordinate and manage warranty and claims within Xylem's service and aftermarket operations in Langenhagen. You will analyze technical fault reports, communicate with customers, align with international manufacturers, and manage the end-to-end process from claims submission to resolution, while supporting risk mitigation and process improvements in pump and machinery components.

What You'll Do

  • Process and manage warranty and claims in the service and aftermarket area
  • Review, analyze and document technical fault reports including photos and data
  • Communicate with customers in Level-1 support via phone and email
  • Coordinate technically with international manufacturers in Level-3 support (English)
  • Submit, track and administer warranty and guarantee applications
  • Create credits, service orders and spare part releases in the ERP system
  • Monitor and document claims, complaints and contractual demands
  • Analyze contractual deviations in terms of time, cost and quality
  • Enforce legitimate claims and defend against illegitimate ones
  • Prepare and support claim negotiations with customers, suppliers and partners
  • Prepare complaint and status reports and track deadlines and costs
  • Collaborate with Service, Project Management, Purchasing and external partners to minimize risk and improve processes
  • Technical focus on mechanical engineering, pump technology and plant components

What We're Looking For

  • Completed commercial or technical training, e.g., Industriekaufmann, Technischer Kaufmann, Mechatroniker or comparable
  • Experience in warranty, claims management, service or claim management is advantageous
  • Technical understanding in machinery or plant engineering and interest in technical questions
  • Proficient in ERP systems, ideally AS/400 and Salesforce, as well as MS Office
  • Structured, independent and solution-oriented working style
  • Strong communication skills and confident presence in customer contact
  • Negotiation skills and understanding of technical and commercial contexts
  • Very good German and good English in speaking and writing
  • Teamwork, service orientation and high initiative
