About the Role As a key member of the Workplace Operations team supporting Commercial Banking, the Operations Coordinator helps implement strategies related to physical office spaces and expense management. The role requires on-site presence in assigned regional offices and provides in-person support at least four days per week.
What You'll Do
- Serve as the primary contact for facilities-related requests from Commercial Banking staff in the assigned region and provide operational support.
- Represent and advocate for staff interests with project teams and internal/external vendors.
- Manage communications to and from the office population via designated channels.
- Track and report office expenses and capacity to feed the financial workflow for accurate forecasting and management.
- Orient new hires to the office environment, ensuring effectiveness in the working model and use of meeting room technologies.
- Support all on-site and remote office aspects using multiple platforms: MS Teams, Office Space, Workplace, and the MS Office suite.
- Maintain security keys and access records and control entry to facilities.
- Proactively coordinate with building services or real estate to resolve maintenance issues (janitorial, HVAC, lighting, etc.).
- Record and escalate any facilities deficiencies, ensuring follow-ups via appropriate channels (Facilities, small real estate projects, technology, AV team, etc.).
- Ensure office supplies and amenities are always available and re-stocked as needed, including off-site storage management and document destruction.
- Ensure external vendors (catering, plants, shredding, etc.) are engaged in a timely manner and that associated expenses are tracked and processed.
- Billing: responsible for submission and follow-up of invoices, escalating as needed; expenses tracked and reported monthly, quarterly and annually.
- Participate in the EHS/Safety Committee to ensure compliance of offices with required standards.
- Communicate requirements to teams and ensure each office has a sufficient number of volunteer firefighters.
What We're Looking For
- Experience in facilities/office operations, budgeting and vendor management.
- Proficiency with MS Teams, Office Space, Workplace, and MS Office.
- Strong communication and stakeholder management skills with the ability to represent staff interests.
- Ability to coordinate multiple priorities and maintain compliant, safe office environments.
- Willingness to work onsite in designated regional offices (minimum four days/week).
