About the Role The Controller will support CFAO South Africa's Product Support and service technicians to ensure effective service delivery, KPIs are met, and a customer-oriented approach across the workshop. Based in South Africa, you will schedule, coordinate and oversee service activities, manage invoicing and administration, and drive service excellence in line with CFAO Group’s strategic vision. What You'll Do
- Schedule, plan and communicate service activities to technicians and customers; assign technicians to services, breakdowns, spray booth work; book all jobs on the mobile tech system.
- Follow up on all WIP jobs daily.
- Facilitate customer calls, complaints and queries; ensure follow-through and communicate results to customers.
- Plan and arrange for machines to come to the workshop; assign technicians; follow through until delivery.
- Compile sustainability report monthly.
- Invoicing completed jobs within 3 working days; ensure jobs are opened/closed per standards, accurate and timely.
- Ensure technicians achieve labour recovery >85%.
- Maintain dedication to service excellence; provide timely feedback to customers.
- Perform administrative tasks related to invoices; other duties as needed.
- Assist Product Support to keep service schedules within parameters by proper planning and scheduling of Technicians.
- Provide scheduled (monthly, weekly, daily) and ad-hoc reports as requested by department manager/Product Support.
- Process creditors invoices, create order numbers; create sundry supplier order numbers and process supplier invoices.
- Submit tax invoices and job cards to customers for chargeable/maintenance work.
- Prepare quotations, submit and follow up with customers; coordinate with Product Support on order numbers.
- Resolve debtors queries and follow through until resolved; resolve creditors queries and follow through.
- Weekly GPS amendments for business and private trips.
- Process technicians’ overtime, in conjunction with Product Support.
- Order parts and follow up with suppliers.
- Assist with Load test certificates that must be issued within 2 working days from testing (when required).
- General administrative duties (emailing, filing, reports).
- Ensure the checking and invoicing of access hours.
- Maintain and update information in the database.
