Job title: Contracts Administrator
About the Role Contract Administrator will support the commercial and contract management of major civil projects, including the Hamilton LRT – Package 1: Civil & Utilities, reporting to the Senior Manager, Procurement and Subcontract. This role involves collaboration with the project delivery team to manage commercial risk, change management, and procurement activities within the alliance framework.
What You'll Do
- Work with project delivery team to manage commercial/contractual issues.
- Change management, including schedule interpretation and claims administration.
- Maintain contractor filing system and administer project contracts (e.g., project agreements, consultancy and purchase agreements).
- Ensure all contract deliverables and timelines are met while minimizing commercial risk on project contracts.
- Participate in drafting, review and negotiation of downstream agreements.
- Monitor procurement scheduling and plans; facilitate competitive tendering for materials, goods, services and equipment; develop terms and conditions; oversee bidding process with pre-qualified companies; evaluate bids; perform tender analysis and recommendations.
- Engage with Aecon’s insurance advisors to develop project insurance programs and coverages.
- Chair and document progress review meetings with contractors to monitor performance and deliverables.
- Exercise judgment to engage Aecon’s legal advisors when needed.
- Support risk management implementation and mitigation plans; proactively analyze risks in the bid phase.
- Manage commercial/contract aspects of project close-out/post-practical completion, including defect liability period and O&M.
- Coordinate contract deliverables with Construction, Project Controls, Finance, etc.
- Manage performance security for contractors (performance bonding, letters of credit, and parental guarantees).
- Ensure compliance of overall project requirements and Aecon policies.
What We're Looking For
- Experience in commercial and contract management for civil/public infrastructure projects.
- Strong skills in change management, claims administration, and procurement coordination.
- Ability to draft, review, and negotiate downstream agreements.
- Experience with tendering processes, bid analysis, and supplier prequalification.
- Ability to coordinate with insurance advisors and legal counsel.
- Strong risk management and analytical abilities, especially in the bid phase.
- Experience with project close-out, defect liability period, and operation & maintenance implications.
- Excellent communication and collaboration across cross-functional teams.
