About the Role The Compliance Administrative Assistant will be a member of the Legal Department, providing administrative support to the compliance strategy approved by the Chief Ethics and Compliance Officer (CECO). The role includes maintaining data in EthicsPoint and PolicyTech, tracking training and compliance courses, and supporting the CECO and Legal Department with meetings, reporting, and documentation. What You'll Do
- Maintain and update EthicsPoint users throughout the Americas.
- Track the status of compliance investigations to ensure timely and thorough closure with documentation in EthicsPoint.
- Prepare data analytic reports on the status of compliance incidents using EthicsPoint.
- Support the CECO and Compliance Committee meetings (scheduling, report materials, minutes).
- Prepare PowerPoint presentations for training and Town Hall meetings.
- Maintain documentation on shared folders related to the Compliance Function.
- Create and maintain a subsection of the Extranet for compliance information for subsidiaries.
- Maintain intranet sections related to compliance matters.
- Maintain group email addresses for compliance matters.
- Maintain the compliance ownership chart tracking subject matter experts and laws.
- Oversee scheduling of New Employee Compliance On-Boarding Training.
- Maintain the training calendar for internal/external compliance-related training.
- Track employee completion of required compliance courses and follow up as needed.
- Manage rules, policies and procedural documents on PolicyTech; assist with expansion
- Book travel for the CECO and potentially other attorneys and submit expense reports.
- Use Monday.com to manage projects related to compliance goals.
- Assist with other administrative tasks for the CECO, CLO Office and legal counsel. What We're Looking For
- Operational experience with legal-related technologies.
- Intermediate Microsoft Office skills (Word, Excel, PowerPoint, Outlook).
- Strong organizational, time management, and prioritization abilities.
- Excellent attention to detail and data accuracy.
- Professional discretion handling confidential information.
- Effective verbal and written communication skills.
- Proven ability to work cross-functionally and globally, building relationships.
- Education: Bachelor’s Degree or 5+ years’ related experience; minimum 3 years’ experience as an assistant to compliance/legal department. Nice to Have
