Commercial HVAC Project Estimator

The HVAC Project Estimator is responsible for developing accurate and competitive cost estimates for HVAC projects. This role requires strong technical understanding of mechanical systems, the ability to interpret drawings and specifications, and a sharp eye for labor, material, and equipment costs. The estimator works closely with the associated account managers, project managers, engineers, and vendors to ensure bids are complete, accurate, and aligned with project requirements.

Key Responsibilities

  • Estimating & Cost Development

  • Prepare detailed estimates for HVAC replacement projects, including equipment, ductwork, piping, controls, electrical, insulation, and installation labor.

  • Evaluate system designs to determine feasibility, constructability, and cost impacts.

  • Develop budgets for design-build, plan-and-spec, retrofit, and service projects.

  • Bid Preparation & Analysis

  • Compile complete bid packages, including scope letters, clarifications, and alternates.

  • Review subcontractor and supplier quotes for accuracy and alignment with project scope.

  • Identify value-engineering opportunities to improve cost efficiency without compromising performance.

  • Assist in bid strategy discussions with leadership and project teams.

  • Align on costs with associated project manager.

  • Collaboration & Communication

  • Coordinate with project managers to validate labor assumptions, subcontractor quotes and installation methods.

  • Attend pre-bid meetings, site walks, and client discussions to gather project insights.

  • Communicate estimate details clearly to internal teams.

  • Research, Pricing & Documentation

  • Maintain current knowledge of HVAC equipment pricing, labor rates, and market conditions.

  • Build and update cost databases for future estimating accuracy.

  • Document assumptions, inclusions, exclusions, and risk factors for each estimate.

  • Required Qualifications

  • Bachelor’s degree in Mechanical Engineering, Electrical Engineering, or Construction Management

  • 2+ years of experience in HVAC estimating, mechanical contracting, or related mechanical trades.

  • 2+ years of experience with commercial and industrial HVAC projects

  • Preferred Qualifications

  • Strong understanding of HVAC systems, components, and installation practices.

  • Ability to read and interpret mechanical drawings, specifications, and schematics.

  • Proficiency with CRM systems such as SalesForce would be preferred.

  • Excellent analytical, mathematical, and organizational skills.

  • Strong communication and negotiation abilities.

  • Familiarity with ASHRAE standards, mechanical codes, and industry best practices.

  • Ability to manage multiple bids simultaneously under tight deadlines.

  • Detail-oriented mindset with a commitment to accuracy and clarity.

  • Pay Range

  • The annual salary for this position is between $79,000.00 - $158,000.00 annually. Factors which may affect pay within this range include, but are not limited to, skills, education, experience, and other unique qualifications of the successful candidate. The pay range will not be below the minimum wage applicable to the jurisdiction in which the applicant is to be employed.

  • Other Compensation

  • This position may be entitled to short-term cash incentives, subject to plan requirements.
